Full Job Description

Norse Group are a lead facilities management services provider built on a foundation of joint ventures with Local Government partners. We currently have an exciting new opportunity for a Works Coordinator to join our team at Infinity on a full-time, permanent basis., Your role will be to provide a range of administrative services to ensure the work for properties managed by the Facility Managers is allocated to contractors appropriately, monitored and actioned accordingly. You will focus on works coordination of both planned and reactive requests to include arrangement and closure to required response times. You will therefore be required to:

  • Responding to work requests relating to the required portfolio, allocating work to the on-site maintenance team, external contractors, or other Norse teams in a timely manner.

  • Raising purchase orders for external contractors, receipting of completed works and approval of related invoices.

  • Supporting the Facilities Manager in the scheduling of reactive & PPM work for the sub-contractors, ensuring work is effectively allocated according to their skills and the business requirements.

  • Identifying and highlighting poor contractor performance to Facility Managers, Contract Managers and/or through the Norse escalation processes

  • Accurately inputting data to ensure the CAFM system accurately reflects status of works, including closing promptly, holding accurate status and being correctly assigned

    It is essential that our successful candidate has excellent communication skills both verbal and written as your daily tasks will include; answering incoming calls, queries and emails from clients, providers and suppliers and responding appropriately. We are also looking for someone with previous administration experience within a busy office environment along with the following:

  • Experience of working in a customer facing role

  • Knowledge of facilities management

  • Experience of assigning work to appropriate contractors, including issuing purchase orders

  • Competent in use of Microsoft Office software (Word, Excel, Outlook etc.) and information databases

  • Excellent communication skills both written and verbal.

    Competitive salary of £24,421.74 - £27,345.59 DoE
