Full Job Description

An exciting opportunity has become available for a Payroll Specialist to Join our busy Payroll team.

The role will involve collaborating with various stakeholders across the organisation to ensure adherence to internal policies and processes, as well as compliance with the applicable regulations and laws throughout the payroll processing cycle and financial reporting.

Role accountabilities

  • Supporting the Payroll team in executing the payroll cycle on schedule, with accuracy, and in adherence with corporate policies and procedures as well as legal requirements.


  • Management of the complete parental leave and pay cycle, collaborating with the People Support group to guarantee data accuracy and compliance.


  • Manage the Work Pension Plan cycle, including uploads, adjustments, auto-enrolment, and contribution reconciliation.


  • Work in partnership with the Reward and Compensation team and ensure that the data from the Darwin Benefits platform has been properly entered and handled appropriately in our payroll system.


  • Manage the payroll inbox and ticket system, assign queries to our team, as well as making sure that all inquiries are answered in accordance with our SLAs and payroll inputs are processed appropriately.


  • Conduct a data audit on a quarterly basis between the payroll and HR systems to guarantee the accuracy of payroll records and that all data is handled and preserved in compliance with the GDPR.


  • Keep up to current payroll policies, processes, forms, and knowledge articles, and assist in their creation when needed.


  • Collaborate with different departments to enhance the performance of payroll services.
  • Collaborated with the Group payroll Manager to guarantee the timely completion of payroll control account balance sheet reconciliation, while maintaining a high level of accuracy and quality.


  • Collaborate with business controllers to ensure timely responses to payroll-related inquiries.


  • Active involvement in Payroll Systems project teams to design and enhance payroll models, including scoping, drafting SOPs, and conducting UAT.


  • Verify that payroll activities adhere to compliance standards by conducting reconciliations, undergoing peer review, and maintaining relevant supporting documents.


  • Provide support in cash flow forecasting and contribute to the management of costs and monitoring of all payroll-related expenses.


  • Assistance with quarterly and annual budgeting in coordination with FP&A team is required.


  • Calculating variance analysis - to include root cause analysis and countermeasures to anomalous entries in the accounts, remediating errors.


  • Ensuring the day to day and long-term compliance of financial/payroll procedures.

    Membership of Global Payroll Association highly desirable

  • Exposure to processing Payroll in UK for >4,000 employees

  • Minimum 5 years' experience in UK Payroll function

  • Experience implementing systems and process improvement in fast-paced work environment.

  • Experience in UAT systems


  • Knowledge of Benefits from payroll and HR standpoints.

  • Experience managing Ticket systems.

  • Experience in systems and experience of working across a European business within a multi-cultural environment would be a strong advantage.


  • English essential, plus second language highly desirable

  • Strong Excel skills (V-Look ups & Pivot Tables)

  • Ability to work well under pressure.

  • Demonstrable bias for action

  • Strong experience and knowledge in Payroll and Benefits Legislation

  • Accounting background highly desirable


  • Experience in working with External Auditors on supplying data and answering PBC requirements
