As our newly appointed Administration Assistant you will work in a fast-paced environment providing a variety of comprehensive organisational, administrative, and practical supportive day to day assistance to the Head of Group Training and the Training Team. You will plan and organise work to ensure that the Group Training Team priorities are met, organisational goals are achieved, and best practices are upheld. This involves carrying out tasks and duties delegated by the Group Head of Training. As part of this role, you will also provide additional ancillary support to the group businesses as required / directed.

This role will be based in PM Law Group / LLP also in other areas of the business as the need arises. Some travel may be required to attend meetings/site offices.

Day to day responsibilities will include:

  • Arranging meetings, calls, training, presentations, conferences, dealing with delegates, training materials, maintaining delegate lists and liaising with other parties / external clients / providers.

  • Managing information flow in a timely and accurate manner.

  • Organising and managing training systems and processes to include assigning courses on Sparkwork.

  • Collating documentation for Training and Meetings and circulating in advance.

  • Assisting at Training events / meetings, on an ad hoc basis.

  • Booking Training (internal and external) and organising meeting rooms.

  • Working extensively with Shared Services, Management Teams, Business Development, Compliance as required on specific tasks/projects.

  • Assisting with managing new starters and the induction process by providing administrative assistance as directed.

  • Assisting with Training Programmes and also delegate feedback.

  • Maintain training records (e.g., trainee lists٫ schedules٫ attendance sheets).

  • Prepare classrooms and keep them properly set up.

  • Create٫ review and disseminate training material٫ such as instructional notes٫ feedback forms and so on.

  • Prepare reports on training activities and results.

  • Suggest improvements or new programs.

  • Help participants interact with each other٫ when necessary.

  • Troubleshoot issues as they arise onsite.

  • Ensure the compliance of all training activities with established policies and best practice.

  • THIS ROLE CARRIES WITH IT A GREAT RESPONSIBILITY TO KEEP ALL MATTERS DEALT WITH WITHIN THE EXECUTIVE TEAM HIGHLY CONFIDENTIAL AND ANY DIGRESSION / INDISCRETION WILL BE DEEMED AS GROSS MISCONDUCT.

    Two or more years' experience in an administrative role reporting directly to senior management is essential.

  • Have the ability to manage a large workload and prioritise.

  • The ability to work under pressure and to deadlines.

  • Be a proactive problem solver.

  • Naturally able to be thorough and have a keen eye for attention to detail.

  • Have a professional and friendly demeanour.

  • Be self-motivated but able to work as a team.

  • Demonstrate a strong knowledge of all admin activities.

  • Have an excellent customer care and telephone manner.

  • Be able to confidently communicate at all levels with a wide range of people in person and over the telephone.

  • Are flexible and consistent whilst maintaining the confidentiality of high-level systems and operations.

  • Have prior and extensive administration/organisational skills with the capacity to pay close attention to detail and ensure all matters are scheduled and dealt with within the scheduled period.

  • Demonstrate a good working knowledge of the legal sector.

  • Be competent in the use of Microsoft 365 including Microsoft Teams.

  • A natural ability to multitask, to organise and prioritise a busy workload and work to tight deadlines.
