Full Job Description

The Team Manager - Inventory will be responsible for the timely and accurate reconciliation of all physical fuel transactions that take place daily within the Watson operational network.

This role involves close liaison with the Inventory Administrators within their respective regions to ensure that all fuel transactions are accurate in order for the business to invoice our customers and reconcile stock inventory both through our operating locations via our rigid fleet and artic fleet.

The focus of this role is to ensure that in conjunction with the team of their administration direct reports, the administration of all transactions are accurate whilst ensuring depot gains and losses are delivered within budgeted expectation and within set threshold by grade, by depot, by month.

Additionally, the Team Manager is the first line of management for the Administration team, therefore ensure resources are managed effectively, ensuring key deliverables are delivered. Furthermore, Administration team are managed robustly through clear objectives aligning to and through weekly 1:1 meetings.

This role is also responsible for the implementation of an new working practices and collaboration with Operations Management for their respective regions,

  • Responsible for delivering stock losses / gains improvement on a continual basis.

  • Provide leadership to their administration team and support in their upskill, coaching and development through continued reviews of their performance in weekly 1:1s.

  • All stock reconciliation to be completed within regional stock reconciliation SLAs set by Head of Inventory and Director, Supply, Inventory and Pricing (day +1)

  • Join daily / weekly stock reconciliation meetings to playback update on stock loss and gains and any other updates relevant in order to continue to drive down stock losses.

  • To ensure that the team accurately record stock reconciliations daily to ensure the efficiency and effectiveness of the business on an ongoing basis.

  • Accurate reporting on a daily / weekly basis of stock reconciliation to ensure the efficiency and effectiveness of the business to the Head of Inventory. Providing a conduit between Operations, Commercial and Domestic sales to ensure the smooth processing of fuel orders and deliveries.


  • Provide Commercial, Domestic sales and Operational teams with proof of deliveries as and when required.

  • Liaising regularly with Operational staff to ensure accurate usage of delivery confirmation procedures through online tracking reports and fleet automation processes.

  • Report any anomalies or inconsistencies to the Head of Inventory upon realization in stock variance with a clear plan to attack and address the issue in hand.

  • Liaising regularly with financial staff to ensure that any anomalies which affect P & L are reported.

  • Full depot reconciliation is carried out on day + 1 for the previous day.

  • Any losses identified will have a full and thorough investigation carried out which will be signed off by the Team Manager, Inventory Specialist or Head of Inventory Accounting

  • To ensure closure of month end is clean and within the required thresholds.

    Work Experience Required

  • Previous line management experience desirable

  • Understanding of a fuel distribution business desirable
