Full Job Description

We are looking for a Team Organiser to join Gatwick Express for 6 months. This exciting opportunity is ideal for someone looking to start and develop a career with the railway.

Supporting the team of 8 managers and almost 200 colleagues across Gatwick and London Victoria you will be key to ensuring our stations can operate effectively.

Whether that is keeping the stations supplied with staff, the resources or materials they require to producing reports for the area or recording meeting minutes. You will be involved in running the area.

Key Tasks in the Role:

  • Provide high quality admin support, including: ordering materials, purchase orders, attendance sheets, managers' timesheets (leave, roster) PGI's, Risk Assessments and management thereof

  • Maintain an efficient filing system paying particular attention to records of standing meetings, operational and staff records.

  • Delivery of KPI reports as required for the Stations team (performance, sickness, training, complaints etc)

  • Organise meetings and the production, collation and dissemination of documentation for and resulting from them. Take minutes when required and follow up actions from the meeting.

  • Working with External suppliers ensuring services are provided as contracted.

  • Undertake administrative tasks as directed.

  • Undertake the role in a way that is consistent with, and reinforces, GTR's values.

    Proven Experience in an Administrative role

  • You must have extensive experience in minute taking

  • Highly literate in the use of IT Systems

  • Experience working in a pressurised environment

  • Strong organisational and planning skills - with an ability to prioritise effectively -

  • The potential to explore and interpret data thoroughly, with a high attention to detail and correctness

  • Educated to GCSE or A Level standard
