Hitachi Energy has an exciting opportunity to join our HVDC team in Birmingham city centre as a Team Administrator, responsible for assisting with the smooth and efficient running of our department. The successful candidate will support on a wide range of tasks with a strong focus on supporting onboarding of all new starters in support of our ambitious growth plans. Other duties will include helping with staff logistics, travel arrangements, expenses and ad hoc team gatherings and events.

This is predominantly an office based role, with the requirement to spend part of your working week at our new flagship office opening in Birmingham city centre in early 2024.

This role is ideal for an outgoing individual who is a natural organizer and enjoys managing their own diary. Working across all levels of the organization with varied tasks, deadlines and challenging responsibilities, you will be a core member of a rapidly growing team.

  • Supporting the wider team within HVDC ensuring a smooth running of general team requirements and provide support where needed.

  • Supporting with all aspects of onboarding new employees and offboarding, explaining all processes and systems HVDC including, but not limited to meet and greets, ordering IT equipment, inductions to systems and general on boarding support.

  • Event management for the local Team, E.g. Summer gathering, Christmas Party etc.

  • Monthly Overtime collation and submission to Payroll.

  • Supporting all travel requests, including all necessary visas.

  • Supporting all UK HVDC Employees, with specific focus on international assignees, and their status with regards to start and end dates.

  • Any other general administrative activities that arise in the day-to-day HVDC business, within the UK.

  • HVDC clearing files in preparation for Finance.

  • Accessing/Using SAP and related systems.

  • Managing and create where needed cost centre purchase orders, invoices, and credit notes for the HVDC business Unit.

    Administrative IT Skills, ideally with previous SAP experience.

  • Previous experience in an administrative role.

  • Outgoing personality, confident in multi-tasking

  • Experience in organizing events or similar.

  • Excellent communication skills

  • Self-motivated and highly organized

  • Passionate about delivering high quality service to stakeholders
