Full Job Description

The Supervisor will be expected to Manage him or herself with all aspects of operational, compliance and budgetary process within their contract portfolio. In general, his/her responsibilities will be to carry out efficient running of the Engineering Team, Supply Chain Partners, Reactive and Planned Maintenance and associated functions.

It is the Supervisor's role to provide leadership to all of the staff within the contract and to ensure that the objectives of the contract are met, especially (but not limited to) Health & Safety, planned preventative and reactive maintenance and the service helpdesk.

Key Responsibilities

· To deliver a consistent level of service across site Hard Services within the company standards, to the contract specification and agreed KPI performance

· Undertaking aspects of HR and recruitment pertaining to the engineering team employees and vacancies

· Ensuring that SLAs and KPIs are achieved for operational delivery for both Reactive and Planned Maintenance activities

· To provide technical, systems and operational support and advice to the engineering team

· To provide engineering cover to support the operational delivery; including but not limited to in the event of planned/unplanned absences

· Manage WIP - Including scheduling works, access arrangements, completion of works, answering financial queries and updating the overall WIP report with the support of the Contract Support

· Management of the supply chain - including sub-contractors and suppliers

· Support and organise resources to undertake operational delivery requirements both inside and outside of normal working hours as required

· Creating and implementing a training plan for the operational teams; ensuring we have sufficient skillset, Competent Persons and Approved Persons for all SFG disciplines

· To conduct audits of reactive and planned maintenance activities ensuring that tasks are completed to SFG standard

· Resolving escalations from the Helpdesk and the client within reasonable time; ensuring solutions are implemented quickly and effectively

· Ensuring planned maintenance services are scheduled and completed on time through engineering and supply chain resource

· Ensuring that compliance documents and contract logbooks are fully up to date and audit ready; including the upload and entry of records into the business system

· Ensuring that all external portals for contract information are regularly updated according to work completion

· Managing client/end user escalations and queries

· Encouraging the reporting of hazards and observations on site into the business system from yourself, the engineering team and sub-contractor supply chain

· Ensuring that PPE, Uniform, Tools and Hazards are logged, monitored and managed for yourself and the engineering team

· To provide support outside of normal working hours in the case of call out/escalation

· Support with planned and reactive requirements through organising specialist sub-contractor attendance

· Providing support to the Contract/Account Manager as required

· Completion of reasonable requests from the CBRE functions heads and management team as required

· Generation of extra works through site walk arounds and communication with engineers, helpdesk and sub-contractors

· Reporting of reactive requests into the CAFM system to accommodate client requests and proactive tasks identified

· Ensuring eLearning is completed and fully up to date for yourself and the engineering team

· Identifying succession within the existing team; ensuring that development and mentoring are implemented

· Answer calls and emails in a professional and timely manner

· Support with the management of holiday, sickness for the purpose of maintaining the correct and required staff level

· Providing operational updates and information for the purpose of client reporting and contract reviews

· Ensuring that queries / concerns raised on accounts are escalated to the responsible Contract Manager for awareness and / or support to address

· Management of CAFM System and reporting

· Attending Weekly and Monthly CBRE and Client meetings as required

· Completing toolbox talks with staff and ensuring records of the meetings are uploaded to internal business systems

· Collate and approve team timesheets and expenses weekly

· System Housekeeping (including but not limited to Webquote, Dynamics, Concept, 4Sight)

· Ensure the delivery of high Customer Service Standards

· Working within the CBRE team on the account to ensure the collaborative development of the business, effective team working, and support to colleagues

· Ensuring customer focus within all areas of operational activities and that effective relationship are maintained with key client contacts

· Promoting and maintaining the core values of CBRE

· Ensuring business policies and processes are effectively communicated, and implemented within the Team.

· Meet Key Deadlines Set.

· Ensuring staff compliance with policy and procedures

· Ensure QHSE documentation is maintained and readily available using CBRE systems, including but not limited to; training & competency records, PPE, toolbox talks, Authorisations to Work, Permit to Work, Dynamic Risk Assessments, etc

· Ensure use of Preferred Suppliers is maximised and best practice "better buying" is in place

· Actively identify/implement innovation across the contract to enhance performance and continue to meet client expectations

· Maintain CBRE notice boards on site.

· C&G / NVQ Qualifications and/or time served Apprenticeship for Mechanical or Electrical bias

· Demonstrable experience in FM within a professional environment at Supervisor level

· Strong organisational and communication skills with the ability to prioritise workloads

· Clean Full Driving License with a flexible approach to work and a willingness to travel would be essential
