About the business unit
We help conceive, drive, and implement transport solutions for cities, regions, and asset owners/operators around the globe. From preparing the business case and advising on related issues - such as revenue, procurement, and environmental legislation - to delivering the completed infrastructure and helping maintain it. Our planning, engineering, environmental and management skills cover the whole project cycle. We play a major role in developing and delivering the Global Transport Sector Strategy.
Overview of role
As a Submissions Coordinator working within the Metro & Civils Division (MNC), you will be reporting into the MNC Development Manager. The role will include; setting up bid delivery programmes, meetings and room bookings; organising bid file structures in Sharepoint; reviewing client tender documents; managing tender clarifications and technical queries; assisting with formulating writing plans / storyboards; full document layout; and coordinating the development of presentation materials associated with Pre-Qualifications, Expressions of Interest, and Tenders / Proposals.
You will also be responsible for the upkeep of opportunities in our Customer Relationship Management system, in collaboration with the Development Manager and our Portfolio Leads. You will produce reports to communicate our opportunity pipelines, as well as assist in identifying materials and text to contribute into bid documents, and undertake client research and competitor analysis. You would curate the MNC WIN site in support of the Development Manager. The site includes a tender library, tender feedback, exemplar answers and evidence-based project sheets.Collaboration with peers across the business to improve knowledge flow and keep the site current will be important.
The role will be based in our Croydon office. You will join a highly productive business development, marketing and management team that represents over 500 staff in the division, and which operates globally to deliver winning bids for the industry's best projects.
Responsibilities:

  • Setting up delivery programs, meetings, and room bookings throughout the bid cycle

  • Reviewing client tender documents and manage clarifications & technical queries

  • Ensuring full document layout for professional and well-structured final submissions

  • Coordinating the development of presentation materials for Pre-Qualifications, Expressions of Interest, and Tenders/Proposals

  • Maintaining and update opportunities in the Customer Relationship Management system

    As a Submissions Coordinator, you'll play a crucial role in ensuring the smooth flow of project submissions. You'll be comfortable with technical challenges and use your analytical mindset to develop effective solutions. Your work will directly impact project delivery within our Metro & Civils division and contribute to society.

  • Ideally, you will demonstrate skills, experience, and aptitude in the following areas:
  • Previous experience in a submissions coordination / management (or related) role.

  • Qualifications in English, Management or Communications are required

  • Experience in an engineering, construction or infrastructure environment would be advantageous but not a barrier for the right candidate

  • Experience of working in a fast-paced, deadline-driven environment

  • Ability to develop and maintain effective internal and external relationships

  • Good planning, organisational and time management skills

  • Can work independently but take in instruction and work collaboratively.

  • Good communication and comfortable managing up / escalating.

  • Advanced Microsoft Office Suite skills, and particular use of SharePoint to administer, organise and deliver submissions
