The post holder will provide comprehensive administration support in regard to the day-to-day coordination of the staff car parking permits scheme at the Royal Surrey Hospital NHS Foundation Trust., The post holder will be responsible for the day-to-day administration duties required in the provision of car parking permits for staff, students, contractors and volunteers who work at the site., The staff travel administrator will report to the PA to the Associate Director / Administration Manager of Estates and Facilities and their daily tasks will include extensive database entry using Microsoft Excel, emailing, appointment management, dealing with staff on a face-to-face basis and via telephone, taking card payments and maintaining payment spreadsheets, inputting data onto ANPR software, printing, scanning and filing, all in accordance with Trust procedures.,

  • Acting as the point of contact for staff parking issues;

  • Responsible for m onitoring the travel plan email box ;

  • Respond ing to car parking emails ;

  • Enter ing new applications and temporary permit applications onto the permits database ;

  • Printing new permits and allocating them via the parking office or via collection from the travel plan office and send collection confirmation emails to the recipient ;

  • Collect ing documents from the parking office ;

  • Process ing documents including permit returns, collection sheets, Etc.;

  • Manage staff permit appointments and taking card payments for monthly, quarterly or annual direct payments or scratchcards ;

  • Updating personal information and car registration details on the database as required ;

  • Accountable for c arrying out daily card machine receipting process and associated financial spreadsheet;

  • Scanning and electronic filing of all relevant forms and documents received into the car parking permits office;

  • Administering the Travel Plan Office appointments system via Skedda.com;

  • Regularly backing-up the Shareplan documents to the Trust 's G: //drive;

  • Liaising via email and telephone with the payroll team as necessary and ensuring all supporting documentation is forwarded monthly in terms substantial staff permit payments or leavers information

    The estates and facilities team is looking for an enthusiastic, approachable and motivated individual to join our friendly team and provide administration support to our travel plan team.


  • As the first point of contact for staff seeking parking permits, lockers/secure cycle storage or general travel information, you will be confident in communicating face-to-face, by telephone or email in what is a busy and demanding environment.

    Your strong IT skills, heavily focused on Microsoft Excel and Outlook, will be put to good use inputting or updating data. The role requires the collection of payments for parking permits and cycle locker deposits and therefore you should be numerate. Accuracy and attention to detail are essential, as are time management and the ability to successfully prioritise your own workload. You will also be coordinating information stored on the Trust's automatic number plate recognition application, so willingness and an aptitude for learning new software skills is advantageous.

    There is a requirement for the successful applicant to demonstrate a caring and sensitive approach whilst communicating with a range of internal and external contacts, including staff, other NHS Trusts and occasionally, patients and an element of the role will involve dealing with complaints.

    You should have previous experience of working in an office environment, preferably carrying out secretarial, clerical and reception duties, preferably for the NHS or a similar setting. Due to the high level of communication required in this role, the successful candidate will have excellent spoken and written English.
