Full Job Description

Working within the OMU team, this position will ensure the effective implementation alongside the OMU Case Admin First Line Managers, of the Offender Management structures both within Parc and within the wider community. The Senior Case Administrator will also ensure that sentences are calculated in accordance with PSI 03.2015 and that un-sentenced offenders are lawfully remanded. They will ensure all documents and IT systems are utilised in readiness and to support the release process of an offender.

The Senior Case Administrator will be the main point of contact for staff, ex-offenders, Community Offender Managers and other external agencies within the Community.

This is a non-operational job with no direct line management responsibilities.,

  • To ensure offender sentences are calculated in accordance with Sentence Calculation PSIs.

  • To ensure adjustments made to sentence calculations are checked and approved.

  • To ensure un-sentenced remand and convicted offenders are lawfully held and produced to court as requested.

  • To ensure pre-discharge sentence checks have been undertaken prior to the release of an offender.

  • Organise, produce and maintain accurate records for the area of work e.g. checklists etc.

  • Ensure completion of mandatory daily tasks list and tasks have been allocated fairly within the team.

  • Ensure all pre-release and transfer paperwork has been completed by the team.

  • Act as a SPOC for all communications to the Department, prioritise and distribute to the appropriate person or relevant department in the establishment e.g. managing the OMU functional mailbox.

  • Maintain and check establishment databases, manual filing systems and records of information with responses within timescales, producing reports as required e.g. Compliance, Data quality, Caseload databases, HDC reporting etc.

  • Arrange any meetings including the preparation of paperwork, minutes and action points e.g. Monthly OMU Meetings, IRMT.

  • Act as a mentor/induction co-ordinator for all new starters within the function, working to develop their initial skill set and work to increase knowledge and capability. Identify any areas of concern/deficit and inform the Manager at the earliest opportunity.

  • In conjunction with the OMU Manager to review new and existing processes and provide specialist advice and consultation for and during discussions about new processes and planning decisions.

  • To provide support and guidance to Case Administrators.

  • Working alongside and informing/advising the OMU Manager during annual staff appraisals.

  • Ad hoc roles and responsibilities as required.

  • Timely gathering of information and key source documents.

  • To oversee the organisation of the parole board conference room and the maintenance of an electronic diary of availability.

  • To provide cover for the essential tasks carried out by other administrators within the OMU as required.

  • To assist in any other duties deemed suitable by the Senior OMU Manager and/or OMU Manager.

    Essential Skills:

  • Educated to GCSE standard or equivalent.

  • Experience of IT systems, and databases is essential

  • Completion of Sentence Calculation training to a Basic Level.

  • Practical knowledge and experience in custody work including a proven record of sentence calculation.

  • Practical knowledge and experience in the OMU case administrative functions and have been working in that environment for over 12 months.


  • Desirable Skills:
  • Completion of Sentence Calculation training to an Advanced Level.

  • Completion of Fines calculation.
