Full Job Description

We are looking for a highly driven, super-organised individual who can effectively balance multiple demands and projects, meeting deadlines and maintaining a highly professional environment.

As a Senior Administrator you will be responsible for a variety of administrative tasks, including managing phones and emails managing office operations, supporting the CEO and senior managers, scheduling appointments, and planning meetings.

You will also provide general support to visitors, develop, and maintain filing systems, and create reports and presentations. This role is crucial in ensuring the smooth functioning of day-to-day office operations.

You will produce documents, briefing papers, reports, and presentations for the CEO, organise meetings and ensure that CEO is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers and the production and distribution of agenda and papers.,

  • Proactively manage and coordinate an extremely active calendar of appointments for the CEO by prioritizing and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided.


  • Successfully co-ordinate and be responsible for the CEO's time, proactively managing diary requirements, scheduling appointments, meeting agendas, board report collation and staff updates etc.

  • Full Administrative support; filtering, prioritising, re-routing, and responding to queries in a timely and professional manner, both verbally and in writing.

  • Organise a wide range of meetings and events at internal/external venues, liaising with internal/ external contacts as appropriate. Ensuring all deadlines are met for key corporate activities.

  • Undertake a wide variety of administrative duties such as expense claims, travel itineraries, accommodation & flight bookings, and events coordination etc.

  • Respond to and resolve a wide range of queries from internal and external stakeholders.

  • Support in compiling professional standard presentation materials and documents in Microsoft Office, PowerPoint.

  • Deal with incoming mail as appropriate and allocate items where possible. When appropriate originate replies under own signature or prepare drafts/documentation for signature.

  • Regularly pulling off data from internal systems to create useful analysis reports.

  • Preparing and sharing business wide communications from the CEO.

  • Assisting in projects where required.

  • Provide support for the Board of Director meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers, and reports, taking minutes and following up action points.

  • Provide support for meetings of the Senior Management Team by drafting and collating papers and reports, preparing manageable agendas, taking minutes, and following up on actions points.

  • Plan and manage key organisational events, strategy days, staff briefings and others as required.

  • Undertake any other appropriate duties as required to support the CEO.


  • Carry out all the duties with complete discretion and a high regard for confidentiality.

    Discretion and confidentiality are essential attributes to be successful at this role as you will be dealing with confidential information.

  • Ability to convey information to people clearly and simply.

  • Ability to forward plan and manage a complex and busy diary.

  • Excellent, administrative skills including the ability to identify administrative needs and develop and maintain appropriate systems to meet them.

  • Ability to take accurate minutes, including being able to interpret and sum up complex discussions concisely.

  • Ability to draft routine correspondence and reports.

  • Ability to maintain accuracy and attention to detail.

  • Excellent interpersonal and communication skills.

  • Excellent time management skills with the ability to manage multiple priorities and deadlines.

  • Proficient in the use of Microsoft office.

  • The ability to work effectively with colleagues at all levels and a wide range of senior external contacts in a high pressure environment.

  • Confident and determined with the ability to work on own initiative and as a team member when required.

  • Ability to prioritise, meet deadlines and manage the conflicting demands of a busy workload.

  • Complete discretion & an understanding of the need for confidentiality.

  • Demonstrate a professional manner at all times and possess the ability to remain calm under pressure.

  • Experience of assisting a Business Executive in a fast paced environment.

  • Experience of providing support to a Board of Directors or similar.

  • Experience of managing and planning projects, conferences, and events.
