Job Description Job title : Secretarial/Administration Assistant Rate of pay : £11.44 per hour Hours of Work : 25 hours per week Reports to : Practice Business Manager Summary The main purpose of the post is to assist and support the Practice Secretary in the secretarial duties to the clinical team and provide assistance to the clinical Coder and the Data Quality Manager. Teamwork All employees are expected to be flexible and display a high standard of teamwork. This includes cooperating in undertaking the work of absent colleagues or assisting others where the workload is particularly high. Accordingly, there may be a requirement, from time to time, to undertake other duties in an administrative role Principal Responsibilities To provide secretarial support to practice and patients, working under supervision and in accordance with practice protocols and guidelines.

Ensure efficient patient service by prompt production of referral letters Following up patients hospital appointments when necessary. Comply with Access to Medical Records Act by dealing promptly with processing Insurance reports, production of the appropriate invoice, liaising with the clinicians and insurance companies and copying Patient Notes for solicitors etc. Liaise with hospitals and patients regarding appointments. Assist the clinical coder with the clinical coding, scanning and importing of correspondence into patient records, Deal with Access to Record requests from patients and their representatives, as required.

Support the clinical coder to input accurate, comprehensive information of all correspondence in the patients electronic record, both written and computerised, Awareness of QOF, Snomed CT codes and alerts needed for standardised care. Support the Data Manager where required Manage the upkeep of GP LINK operations Return of notes and marking notes arrived. Summarising patient notes.
