Full Job Description

  • Support employees on any queries, ensuring all are answered and/or rectified as smoothly and as quickly as possible.

  • All departments such as People Support, H&S, the warehouse etc are liaised with on behalf of retail employees when required.

  • Helpdesk tickets raised, and progress monitored through to resolution for system access and any technical issues.

  • Administrative assistance provided for the Retail estate.

  • Setting up new partner accounts and stores in Dynamics 365, AS400 and Cigid Y2 systems.

  • Liaising with IT for integration and system updates and keeping everyone up to date with opening dates etc.

  • Ensure all necessary paperwork is submitted and approved by all parties.

  • Act as the liaison between all external and internal suppliers to ensure the processes run smoothly.

  • Manned store packs including H&S folder, QR code for staff login and general sheets are sent ready for store opening.

  • Point of sale orders raised and tracked to ensure delivery is made when items are required in store, including ordering items from external suppliers.

  • Maintain and update all store records.

  • Build and maintain successful interdepartmental relationships across all companies and brands, both internal and external.

  • All relevant communications are cascaded to all Retail employees.

  • Point of sale orders raised same day as requested.

  • Point of sale stock levels checked regularly, and details sent to the relevant Marketing departments.

  • Liaise with Marketing departments for new season point of sale and any changes to stock, ensuring order form is updated and distributed to the team.

  • Transfers are arranged with couriers and tracked daily, liaising directly with couriers if any issues arise, keeping all relevant people informed.

  • Pimberly - store locator updated and maintained.

  • Bates Stationery - liaise with contact to add or remove accounts and stores when required. Checking and authorising all orders over £25 raised by the field-based team.

  • Ensure stock levels of stationery kept in head office are regularly checked and are ordered when required.

  • New Starters and leavers - liaise with IT with regards to email addresses and system access and update all relevant sheets.

  • Administrative Duties - all sheets updated and maintained and distributed when necessary.

  • Updating and sending our annual sales diary to printers to obtain quotes and arranging delivery to manned stores once produced.
