Full Job Description

The Royal Society of Chemistry have an excellent opportunity to join our Facilities team as a Reception - Facilities Admin. In this front-facing role based at our Cambridge office, you will play a crucial part in ensuring the smooth operation of our reception areas and supporting a wide range of facilities-related tasks across our UK buildings.

In this role, you will:

  • Provide an excellent reception/switchboard service

  • Manage flats bookings in Thomas Graham House.

  • Support with processing invoices related to Facilities department.

  • Ensure deactivation, activation and monitoring of security and fire alarm systems.

  • Manage and coordinate meeting room arrangements.

  • Maintain and update information on Intranet page, departmental SOPs.

  • Support the security and access arrangements for the building.

  • Support in the delivery of special projects relating to building operations.

  • Ensure continuous improvement and quality of Facilities services.

  • Support with periodic building inspections and testing.


  • In this role it is expected that you will attend the office Monday to Friday.

    Working hours: Monday to Thursday - alternating shift rota on a weekly basis of 07:00-15:00 or 10:30-18:30; Fridays - 09:30-17:30. Possible overtime and flexible working to accommodate necessary out of hours work.

  • Have previous experience as a receptionist or in a similar role.

  • Have excellent customer service skills and be able to communicate in a professional manner.

  • Be motivated, proactive and enthusiastic team player.

  • Have good Microsoft Office skills using Outlook, Word and Excel.

  • Have knowledge of reception arrangements including switchboard operation.

  • Knowledge of fire evacuations, emergency procedures and responding to first aid requests (desirable)
