Full Job Description
- Purchase Order and Invoice Management:
- Take responsibility for managing the Purchase Order process, ensuring accuracy and adherence to budgets.
- Efficiently track invoices and resolve any discrepancies or issues in a timely manner.
- Collaborate with finance and procurement departments to ensure smooth processing of payments.
- Project Budget Tracking:
- Monitor project budgets and expenditure, ensuring all financial information is accurately recorded.
- Provide regular updates on budget status to project stakeholders and management.
- Identify any budget variances and propose corrective actions or recommendations.
- Project Meetings:
- Schedule and coordinate all project meetings, including preparing agendas, distributing materials, and capturing minutes.
- Ensure all necessary stakeholders are invited and informed well in advance.
- Follow up on action items and track progress to ensure timely completion.
- Document Management:
- Keep all project and team folders in the shared area up to date and well-organized.
- File any new documents received and maintain efficient filing structures, both electronically and physically.
- Assist in the production and maintenance of project documents, including business cases, project plans, risk registers, issues logs, and lessons learned reports.
- Communication and Collaboration:
- Liaise with internal teams at all levels to gather information, coordinate activities, and ensure effective project execution.
- Collaborate with external training providers and contractors to facilitate project deliverables.
- Communicate project updates, milestones, and risks to relevant stakeholders in a clear and concise manner.
Proven experience as a Project Officer or similar role, preferably in a fast-paced environment. - Excellent organizational skills, with the ability to manage multiple tasks and deadlines simultaneously.
- Strong attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Proficient in using project management tools and software.
- Ability to work collaboratively within a team and independently when necessary.
- Knowledge of budgeting and financial principles.
- Familiarity with project management methodologies and frameworks.
- Flexible and adaptable, with a positive attitude towards change.
