Full Job Description

  • Purchase Order and Invoice Management:

  • Take responsibility for managing the Purchase Order process, ensuring accuracy and adherence to budgets.

  • Efficiently track invoices and resolve any discrepancies or issues in a timely manner.

  • Collaborate with finance and procurement departments to ensure smooth processing of payments.

  • Project Budget Tracking:

  • Monitor project budgets and expenditure, ensuring all financial information is accurately recorded.

  • Provide regular updates on budget status to project stakeholders and management.

  • Identify any budget variances and propose corrective actions or recommendations.

  • Project Meetings:

  • Schedule and coordinate all project meetings, including preparing agendas, distributing materials, and capturing minutes.

  • Ensure all necessary stakeholders are invited and informed well in advance.

  • Follow up on action items and track progress to ensure timely completion.

  • Document Management:

  • Keep all project and team folders in the shared area up to date and well-organized.

  • File any new documents received and maintain efficient filing structures, both electronically and physically.

  • Assist in the production and maintenance of project documents, including business cases, project plans, risk registers, issues logs, and lessons learned reports.

  • Communication and Collaboration:

  • Liaise with internal teams at all levels to gather information, coordinate activities, and ensure effective project execution.

  • Collaborate with external training providers and contractors to facilitate project deliverables.

  • Communicate project updates, milestones, and risks to relevant stakeholders in a clear and concise manner.

    Proven experience as a Project Officer or similar role, preferably in a fast-paced environment.

  • Excellent organizational skills, with the ability to manage multiple tasks and deadlines simultaneously.

  • Strong attention to detail and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Proficient in using project management tools and software.

  • Ability to work collaboratively within a team and independently when necessary.

  • Knowledge of budgeting and financial principles.

  • Familiarity with project management methodologies and frameworks.

  • Flexible and adaptable, with a positive attitude towards change.
