Full Job Description

Key responsibilities: The Projects Administrator is the heart of Rockfine Group, sitting at the centre of all activity to facilitate communication and the sharing of knowledge and information.

Duties include but are not limited to:

  • Manage diary systems for the team including scheduling appointments and follow-ups, drafting meeting notes and tracking activity using a range of tech tools including Outlook, Gmail, Zoom and Microsoft Teams;

  • Participate in WhatsApp group messages to build excitement around upcoming meetings and events, encourage attendance and highlight opportunities;

  • Create a reason to approach past clients and encourage re-engagement;

  • Build community using Hubspot database and use its functionality to deliver newsletters and information to clients, referrers and prospects;

  • Write copy for WordPress website and update with new information;

  • Increase following on social media by creating and posting relevant information and articles based upon Rockfine activities and success stories;

  • Assist with the tracking and delivery of company projects including data collection and presentations;

  • Order maintain and manage post, stationery, the office manual, policies and procedures;

  • Assist with onboarding process for new team members and Associates;

  • Coordinate team meetings and interactions helping us build a culture of collaboration with a remote workforce;

  • Stay up on market developments relating to our clients and projects, informing the team when something notable happens;

  • Cleverly introduce new technologies, apps, and online tools into our processes and procedures to assist the delivery of exceptional service, and help us all maintain a good work/life balance.


  • As a key member of the team, we hope attendance at networking events (both online and in person) will be an integral and fun part of the job.

    Qualifications/Experience: This won't be your first job, but in the area of formal qualifications we are willing to be flexible. Ideally educated to degree level, we are happy to talk with candidates who feel their work experience demonstrates an ability to excel as a member of our team, especially if you have delivered tangible results in the areas of project management, sales, marketing, or events, etc.,
  • Excellent verbal and written communication skills are required;

  • Must be proficient in Microsoft products, especially Excel, Word, and Outlook;

  • Have a high attention to detail and desire to get things right;

  • Experience with marketing and social media is a plus;

  • Knowledge of CRM/database management would be useful;

  • Understanding of driving factors for SME business owners would also be helpful.
