Full Job Description

The Fleet and Compliance Manager will be responsible for operational delivery of a best-in-class Fleet management, legal compliance, and safety compliance, with robust sustainable solutions to support the growth plans of the Contract. Managing across the multiple sites, working in a fast-paced and dynamic environment, accountable for fleet management, including fleet build & renewal strategy, fleet procurement, maintaining correct levels of fleet resource, challenging the norm by staying close to industry innovation to ensure we continue to track with the appropriate level of technology and sustainability; all fleet maintenance, compliance, safety and related costs, including PO controls and challenging cost through strong partnership relationships with service providers.

This is an Open Book contract based on a customer's site with the expected level of customer focus & scrutiny.

How will you contribute?

  • Own and Ensure Service planner maintained, and vehicles are presented for PMI (Safety Inspections)


  • Own and Ensure all Legally required Inspections (MOT; Tacho; LOLER; RFL etc are planned in advanced and documents returned; filed and recorded correctly


  • Own the Tyre maintenance contract.


  • Own the hire company relationships.


  • Own the servicing agent relationships.


  • Own the fuel purchasing and reporting process.


  • Own compliance to drivers' hours and WTD regulations, including average hours over the reference period


  • Ensure Planned Fleet Maintenance Boards are up to date.


  • PMI and annul inspection managed around peak trading impacts.


  • Carry Out Monthly Compliance Audits on Paperwork and Fleet


  • Ensure Defect Reporting is managed promptly.


  • Carry out Quality Checks


  • Monitor Alerts from DVSA regarding licenses and that all drivers complete online checks and driving licence mandates are completed


  • Monitor and manage DCPC training


  • Monitor and manage driver EU and Working time hours/Infringements and training


  • Manage FTA Vision and input details correctly.


  • Fleet Management planning and administration


  • Ensure Accident Investigations are robust and investigators are appropriately trained


  • Own rebate process for Drivers Negs claims through driving agencies.


  • Own insurance claim process through accident damage as a result of non-blameworthy accidents


  • Support the Transport Operations Manager in maintaining good repute for the O'licence.


  • Work with H&S team to ensure operation remains compliant in all areas


  • Manage and lead annual H&S and Compliance audits ensuring operations remain in the green


  • Location is based on site at Islip and / or Thrapston. This role does not support working from home


  • Ensure robust controls are in place for all fleet onboarding and fleet disposal to include dilapidation and excess mileage cost controls


  • Ensure effective VOR management to maximise fleet availability


  • Manage workshop and supplier performance to ensure that fleet count is optimised across the contract (to include parts supply)


  • Liaise with manufacturers to ensure vehicle safety recalls, service measures, warranty & warranty goodwill claims are effectively managed and/or claimed


  • Analyse and manage maintenance spend to ensure robust cost controls are in place to drive profitability


  • Identify maintenance trends and implement preventative maintenance measures to enhance safety and/or drive cost saving initiatives


  • What will you bring?

  • Knowledge of the Operator License Legislation and road transport legislations, with an International CPC.


  • Excellent Knowledge of Tacho Law and WTD


  • Good timekeeper and able to work unsupervised whilst working as part of an established team


  • Enthusiastic and reliable with a commitment to delivering 1st class customer service.


  • Must have good communication skills and a flexible can do attitude to work. Demonstrate drive, energy, and a commitment to the continuous improvement of overall contract performance.

  • Be able to demonstrate previous relevant experience.


  • Able to travel across sites as required.


  • Proven track record of delivering safe transport operations, underpinned by a behavioral based safety culture, with clear consideration for colleague wellbeing.


  • Demonstrable, relevant management experience of leading teams responsible for delivering high-quality results to customers.


  • Ability to provide effective customer insight, reporting, feedback and communication.


  • Strategic thinker with a deep appreciation of the fast-paced Transport industry, both open and closed book


  • Consistent track record in delivering rounded business improvement and development.


  • Ability to use dashboards to drive performance measures and company growth.


  • Strong leadership, communication and interpersonal skills


  • Transport background, with an excellent understanding of the challenges, risks, opportunities, and legislation


  • Excellent customer relationship management skills with a proactive approach to problem solving.


  • Proven track record of building high performing teams within a complex service delivery environment.


  • Strong commercial capabilities and contract knowledge and understanding


  • Comprehensive operational knowledge gained within a large complex 3PL environment.
