Full Job Description

We are seeking an experienced PA to provide full and comprehensive support to designated Company Directors. The job holder's role is to assist designated Directors with organisation and administrative tasks, enabling the Director's to maximise their time spent on strategic tasks.
You'll be joining us on a 10 month fixed term contract as maternity cover, starting at the beginning of July.
Our ideal candidate will be highly organised and proactive with an ability to manage changing deadlines and shifting priorities while remaining calm under pressure. You'll think ahead to anticipate the needs of the Directors before they arise and you'll have excellent communication and interpersonal skills to manage relationships both internally and externally.
Your responsibilities include:

  • Complex diary management: organising and coordinating daily activities and meetings making sure the Director(s) are where they need to be, at the right time, prioritising and re-prioritising meetings, liaising with colleagues and clients and updating/communicating the Directors' movements as appropriate

  • Act as the general intermediary/central point of contact for the Directors, i.e. field calls/information and generally act or respond on their behalf where possible

  • Organise logistics around meetings, including booking meeting rooms, arranging hospitality, meeting and greeting visitors and setting up conference/video calls

  • Make business travel arrangements and ensure any necessary visas are obtained in a timely manner

  • Assist with gathering of paperwork and preparing documentation for key meetings and circulating within the accurate time frame before the meeting

  • Collate and process monthly expenses and pass to the Accounts Department efficiently

  • Provide administrative support on Directors' projects and pieces of work as and when required, which includes preparation of presentation slides and word documents for either internal or external use

  • To assist with event planning and management for small and large internal facing events

  • Take and issue minutes and actions from key meetings accurately to reflect upcoming tasks and business requirements

    The job holder will have previous experience in a PA role (ideally 5 years plus)

  • Experienced in complex diary management, travel arrangements, meeting organisation

  • Experience of preparing presentations/documents, liaising with clients or similar customer facing experience

  • Highly computer literate with working knowledge of Mac and the full Google suite

  • Experience in Media/Production would be advantageous but not essential
