Full Job Description

1 x part time staff required - 0800 to 1600 Tuesday to Friday.

The role is based at Royal Blackburn Hospital for Acute Occupational Therapy and Physiotherapy across East Lancashire. We are seeking an enthusiastic, motivated administrator to join our busy reception team.

The successful applicant will be expected to provide a high-quality administrative support to ensure smooth running of the service for both patients and colleagues alike., The post holder will primarily be responsible for reception duties and provide a highly effective and efficient administrative service that provides support to patient related processes including referral management and booking, telephone call handling, data inputting/processing, typing letters, general administrative/clerical duties and on-site/reception duties., The post holder will be responsible for updating and maintaining information recorded on patient administration systems i.e. EMIS and CERNER Millennium etc., 1. Ensure adherence to the Patient Administration Standard Operational Policy at all times.

2. Responsible for timely, accurate recording of referrals, appointments/contacts and patient information both manual and electronic in line with Data Quality protocol.

3. Responsible for processing referrals in accordance with clinical triage and KPI's. Ensuring appointments are in line with the Therapies Access Policy, highlighting issues and taking corrective action where necessary.

4. Maintain the confidentiality of any information obtained regarding patients and be aware of the Data Protection Act, Caldicott and Freedom of Information policies.

5. Negotiate patient appointments, offering choice of dates/time whilst adhering to clinical requirements e.g. type of appointment, profession required.

6. Ensure patients are communicated with effectively in relation to their appointment via different means of communication i.e. telephone, letter, e-mail, text message etc.

7. Arrange transport and translation services where necessary.

8. Courteously and efficiently, receive all telephone enquiries from patients, carers, other professionals and external agencies in relation to appointments and general enquiries and in accordance with Trust Policy.

9. Provide general clerical duties including filing, scanning, photocopying.

10. Ordering and receipting goods.

11. Ensure patient case notes and appropriate electronic systems are maintained to a high standard ensuring information entered is in line with the Trust's data quality standards.

12. Participate in the induction of new Patient Service Administrators, sharing knowledge and expertise of the administrative processes, functions and specific knowledge.

13. Prioritise and manage own workload each day to ensure the department runs efficiently and effectively.

14. Provide cover across the Administrative Services when required.

15. Identify potential overseas visitors and patients liable to pay for treatment, at point of referral as per Trust's Overseas Visitors policy.

16. Provide administrative support to clinicians with regards to patient related tasks i.e. preparing clinics, distributing patient leaflets, uploading documents to EMIS etc.

They must have excellent customer service and communication skills, a pleasant manner, and be fully computer literate with a keen eye for detail. They should have a desire to expand beyond their current experiences, with a willingness to adapt to the changing needs of the service, addressing new challenges when required. They must be able to work under their own initiative, have good time management skills, be flexible in their approach and demonstrate the ability to multitask. A previous working knowledge of the EMIS system and AccuRx is desirable.,

  • GCSE English and Maths at Grade 4-9 or equivalent

  • Experience of working in administration role.

  • Experience of working in a customer care environment.

  • Experience of working within a team.

  • Proficient in the used of Mircosoft Office including, Word, Excel, Outlook.

  • Able to work unsupervised for short to medium periods of time.

  • Willing to adapt to the changing needs of the service, taking on board new ideas, skills and knowledge

  • Ability to work flexibly to meet the needs of the service


  • Desirable criteria

  • ECDL or Equivalent

  • Experience in a similar role with knowledge of referral to booking/patient related administration systems and processes.

  • Experience of working in administration role.

  • Previous experience of EMIS/CERNER or relevant patient administrative system

  • Experience of AccuRx/ENVOY

  • Please note that the salary advertised is for full time hours. If this post is less than 37.5 hours per week, the salary will be pro-rata. For posts on Agenda for Change pay-scales, new entrants to the NHS will normally commence on the first pay point of the relevant band.

  • Disclosure and Barring Scheme (DBS)

Candidates can choose whether to pay this over 1-3 months as a deduction from the monthly salary.
