Full Job Description

Reporting to the Office Manager, duties will include:

  • To support the Office Manager and deputise when necessary

  • To answer and screen incoming phone calls, forward messages to the appropriate person, and manage the telephone system

  • Deal with customer telephone queries and sales enquiries

  • Processing sales orders, confirming to customers via email or their portal, creating work orders

  • Create packing documentation, dispatch documentation

  • Use customer web portals for checking stock levels to determine daily shipping quantities, booking stock transfer shipments

  • Order and book outbound couriers and ensure that deliveries arrive on time at the right destination, distribute inbound post/packages.

  • Create transport bookings and documentation for UK and export dispatches, obtaining the necessary proof of export documentation required by HMRC where relevant and recording

  • Create & print production labels using various programs

  • General office administrative duties, including photocopying, filing and archiving

  • Greeting & receiving visitors, providing refreshments

  • Issuing and activation of security passes for visitors and staff and the administration of the Paxton Door System

  • Booking food & travel arrangements including flights, hotels and hire cars

  • Inputting general data as required

  • Any other general office and administrative duties

    Adaptability and flexibility, self-motivation

  • Have IT systems experience and be proficient in MS Office, excellent communication skills both written and verbal

  • Personal accountability/ownership

  • Quality of work, high level of attention to detail and accuracy

  • Good Team Player

  • Ability to work and prioritise under pressure and to meet deadlines

  • Reliable, willing to take responsibility and ownership., Demonstrate determination and a positive approach to solving problems and queries quickly and accurately

  • Proven experience of working in a busy customer focused office environment with excellent communication skills, calm under pressure, ability to prioritise workload

  • Flexible with a can do attitude and willingness to work outside normal hours if required to complete a task

  • Excellent organisational and administrative skills, including a high level of attention to detail and the ability to manage and co-ordinate multiple projects within a busy and demanding environment.

  • Good interpersonal skills with the ability to work and communicate at all levels

  • Experience of dealing with and resolving telephone enquiries confidently and promptly

  • Excellent IT skills with a sound working knowledge of Microsoft Office suite

  • Ability to work unsupervised and on own initiative with a can-do attitude
