Full Job Description

As an Office Administrator you will support (administrative) activities that facilitate the smooth running of the projects and business, providing a high-quality service to customers (both internal & external) through administrative tasks. Reporting to the Operations & Security Manager, you will ensure a high standard of service is delivered and continually seek to improve services by making a positive contribution to the professionalism of the team., You will develop the skills you need for the job by working alongside your colleagues and obtain experience in many different aspects of the role.

You will also be helped to build relationships with peers, allowing you to achieve your professional development objectives.

Duties will include:

  • Administration support to the DIT contract across all projects including assistance to the configuration, security departments and Project Managers.

  • Responsible for the processing of the DIT monthly payroll, carrying out duties as directed by the Business Support & Engagement Manager, Space & Security (S&S).

  • Booking of meeting rooms, organising and arranging meetings for staff, including arranging refreshments and buffets.

  • Assist with presentations and reports on behalf of the management team using data they have provided.

  • Maintain filing systems as required.

  • Raising purchase orders as directed.

  • Maintain documents and update the document database (including coordinating reviews of local operating procedures) under the supervision and guidance of the Configuration and Data Manager.

  • Cascade communications as directed using various methods such as newsletters, posters and site-wide emails.

  • Processing supplier invoices

  • Record and maintain various employee information (leave details, long service/recognition awards, training).

  • Minute taking.

    Good all-round education, specifically English and Maths.

  • Good knowledge of IT applications, including Microsoft Office (Word, Excel and PowerPoint).

  • Being able to complete tasks on time achieving deadline and key milestones if required.

  • Must be able to communicate confidently.

  • Ability to occasionally be flexible with regards to working hours
