Full Job Description

  • To oversee membership queries and questions by acting as the main point of contact

  • To make contact with parents and those interested in Sound Pop Academy through our marketing (ie, contacting leads, inbound enquiries etc)

  • To create and write our monthly newsletter

  • To support with the administration of academy activity, such as membership administration and emails to larger tasks such as performance management, management of our members area and bespoke events and projects.

  • To manage the on-boarding, off-boarding and management of academy memberships

  • To assist the with any tasks that may need administrative support, including scheduling emails, managing performances and register updates

  • To manage room bookings and contact with venues

  • To ensure office policies and procedures are maintained and updated

  • General day-to-day administration to ensure smooth running of all academy locations

  • To develop and maintain a filing system and system processes

  • Management and storage of different data types

  • Plus any other duties required from time to time, that are deemed part of the job

    The ideal candidate will be be able to work flexibly but mainly from our office in Southampton's Cultural Quarter. They should be comfortable with occasional lone working, as well as working with different members of the Sound Pop Academy team., A strong interest or experience of working within an arts organisation or business

  • Marketing and sales experience

  • Ability to create new systems and forward thinking, to create and streamlining systems

  • Proven experience working effectively within an office environment as a coordinator / administrator

  • Knowledge of office management systems and procedures

  • Proficiency in using macOS - We do not use Microsoft products.

  • Exceptional attention to detail and problem solving skills

  • Excellent written and verbal communication skills

  • Strong organisational skills with the ability to multi-task

  • Ability to respond and adapt well to last minute changes

  • Understand GDPR policies

  • Any other adhoc tasks that may be required

    Sound Pop Academy allows young people to take part and perform in a contemporary, fresh singing group across the south coast.


  • The idea was born in October 2016 and our vision of being 'bold and different' has defined us. We are the south's leading singing group for young people aged 3-17. We run weekly sessions throughout the year and pride ourselves on teaching young people about harmony singing, vocal technique and performance skills in a fun, creative, dynamic and engaging way.

    Sound Pop Academy engages with thousands of people each year. From parents and children, to schools and venues, through academy sessions, workshops, small and large scale performances and more.

    Pay: £12.15 per hour
    Hours: 8 - 10 hours per week (hours and day or days of the week worked to be decided)
