Full Job Description

To deliver accurate historical income and profit margin by event type in the form of a Profit & Loss. This aspect of the role will focus on supporting the sales and marketing teams by analysing historic data and deriving insights for maximising income and profit margin., To deliver accurate historical income and profit margin by event type in the form of a Profit & Loss. This aspect of the role will focus on supporting the sales and marketing teams by analysing historic data and deriving insights for maximising income and profit margin.
To forecast realistic future income and profit margin by event type for inclusion in the forward-looking business plan and subsequent reforecasts - comprising Profit & Loss, Balance Sheet and Cash Flows. This aspect of the role will work hand-in-hand with the sales team to set stretch performance targets for maximising income.
To build the forward-looking business plan and subsequent reforecast for the full suite of Profit & Loss (i.e. all income and expenditure items), Balance Sheet and Cash Flows. This aspect of the role will focus on analysing deviations between actual versus plan, and will entail liaising with various teams (e.g. sales, audio visual, catering, venue operations, human resources).
In addition to the above, the role will include wider aspects of steering Business Performance, such as creating dashboards of key metrics and preparing other ad hoc analyses as required.
Key Tasks
General
+ Gain Super User status for Momentus Ungerboeck EBMS (Events Booking Management System) and undertake the following:
o Specialise in Report production from EBMS.
o Review and update Reporting templates.
o Improve Reports especially for live information reporting.
o Communication point for external EBMS consultant – for errors, report creation and modification requests.
o Attend Ungerboeck Independent User Group meetings.
+ Prepare historical Profit & Loss by event type.
+ Build business plans and reforecasts of forward-looking Profit & Loss, Balance Sheet, Cash Flows.
+ Create Business Performance reports for CEO/Directors as defined, evaluate results and provide commentary.
+ Review payment invoices of Agency commissions for introducing business and raise purchase orders.
Weekly Tasks
+ Report Enquiry Counts and red alert months (when sales fall below plan) in weekly sales meetings.
+ Report Enquiry Counts by Event Week with quote-to-contract sale conversion rates.
+ Email Sales/Marketing and Directors with overview of sales activity including recent contracts sent out or big wins.
Monthly Tasks
+ Report Monthly Income with future forecasts broken down by month for current year, future year ahead, and prior year comparison.
+ Report Enquiry Counts by Event Month with quote-to-contract sale conversion rate.
+ Report Enquiry Counts by Enquiry Month with quote-to-contract sale conversion rate.
+ Report Occupancy Days by Meeting Rooms and Size Category.
+ Lost Business – deep dive into booking cancellations and non-renewals, including reasons.
Quarterly Tasks
+ Track Financial Year actuals versus plan:
o Occupancy Days by Meeting Rooms – analyse deviation between actuals versus plan – split by size category, weekday AM, weekday PM, weekend AM, weekend PM.
o Room Hire income – analyse deviation between actuals versus plan – in total, by client industry sector (e.g. pharmaceutical, education etc), and by client geographic market (e.g. UK, US etc).
+ Quarterly Monitoring report for Sales/Marketing and Directors:
o Total Event Counts – split into government and non-government, with prior year comparison.
o Total Enquiry Counts – split into UK and non-UK, with quote-to-contract sale conversion rate, event delegate size, event type (e.g. conference, graduation, filming).
+ Reports for Management and Advisory Boards
Yearly Tasks
+ Business Plans and Reforecasts:
o Roll forward various data input files:
# Occupancy Days by Meeting Rooms – split by size category, weekday AM, weekday PM, weekend AM, weekend PM.
# Room Hire income – split by client industry sector and client geographic market.
# Enquiry Counts – split into UK and non-UK, with quote-to-contract sale conversion rate, event delegate size and event type.
o Pricing for future years – start process 6 months before 1 April rate change:
# Check audit visual packages are not changing with Audio Visual.
# Agree room hire price increases with Directors.
# Calculate secondary income ratios for audio visual and catering.
# Obtain historic general ledger income split from QEII Live and load into EBMS.
# Communicate to Sales/Marketing and Finance teams.
Administration
+ Undertake and manage specific projects set by the Finance Director and other Directors working to agreed timescales and budgets.
Product Knowledge
+ Maintain a current and accurate knowledge of QEII Centre service offerings including secondary services (audio visual, catering).
+ Maintain a current and accurate knowledge of competitor service offerings, pricing structure and activity.

+ Qualified accountant, or part-qualified accountant who has passed the majority of papers.
