Full Job Description

We are looking for an experienced Legal Secretary / Career Paralegal to provide support and work within the property team.

Your primary role will be to work closely with our property solicitors proactively assisting the team with a high-volume caseload, dealing directly with client queries daily and assisting with various tasks.

The needs of the firm may change over time, and you may be required to undertake alternative work types instead of, or in addition to, this primary role.

Main duties:

  • General administration including but not limited to opening files, undertaking AML checks, producing letters and documents which utilise Case Management and IT systems.

  • Relationship building with 3rd parties, proactively progressing matters.

  • Putting in hand searches and preparing contract packs.

  • Handling first line client queries and providing quotes for prospective clients.

  • Arranging practical aspects relating to case work.

  • Attending upon clients for administrative matters.

  • Preparation of documentation, including but not limited to client care letters, taking ownership in the drafting and submissions of Land Registry Applications and Stamp Duty returns, alongside the file handler.

  • Preparing bills and dealing with the financial aspects of the transaction/matter.

  • Updating external websites and portals on matters, as and when required

  • Ensuring all file closing procedures are conducted at the end of the transaction and liaising with archiving for file closure.

  • Participating in other activities and projects; flexibility as required

  • Carrying out any other reasonable tasks that may be requested by the solicitors in the department and/or management.

    Previous secretarial / paralegal experience (c5+ years) within a residential and commercial property law firm, is essential.

  • Excellent organisational skills that support an ability to work with a high degree of attention to detail whilst at the same time productively managing a large volume of work to stretching targets in a fast-paced environment.

  • Excellent interpersonal skills and strong verbal and written communication skills with the ability to communicate effectively with colleagues at all levels and provide exemplary client care.

  • Excellent written communication skills.

  • Flexible attitude to work such as a willingness to act appropriately to meet unexpected demands, including the ability to prioritise own work under pressure., Weybridge: reliably commute or plan to relocate before starting work (preferred), law firm property: 5 years (preferred)
