Full Job Description

As Knowledge and Information Officer, you will provide and maintain the Energy Institute's library and information service, covering all parts of the energy system, primarily for the benefit of members of the EI, but also for other individuals and organisations, in the UK and around the world. You will ensure its continuing relevance as an up to date and accessible library and information service through the full and effective use of both physical and electronic media.

You will be part of a wider team within Knowledge, Insight, and Research who also provide high-quality energy information and insights for EI members and wider stakeholders in the form of reports and guides.

What you'll do

As Knowledge and Information Officer you will work closely with a variety of EI staff and other stakeholders to fulfil the Knowledge Service and wider EI objectives. Your primary responsibilities will be to:

Welcome and assist library users with locating material in the library and archive and with information and research enquiries.

Conduct library and archive tours for students, organisations and individuals.

Contribute towards the building and maintenance of the library collection, both in paper and electronic form.

Book-in periodicals and shelve or circulate them, taking note of the various retention periods for each title and disposing of items no longer wanted.

Neatly and accurately shelve new stock according to the Energy Institute library classification scheme and assist the Digital Knowledge and Information manager in the continuous review of all library material held.

Catalogue new library materials on our library management system ensuring accuracy and indexing procedures are followed and edit and delete catalogue records as required

Use the library management system to loan, renew and return items, ensuring that items are mailed out if required and are returned or renewed by the due date.

Take responsibility for organising the binding of archive material.

Project manage any archive digitisation projects and assist with preparing applications for funding as required.

Under the direction of the Digital Knowledge and Information Manager, take responsibility for dealing with information and research enquiries and callers as appropriate, ensuring accuracy of response at all times.

Update and maintain statistical datasheets on energy topics that are made available to users on our website.

Contribute to and circulate the Knowledge, Insight and Research team's weekly Knowledge Note of key energy news links to the rest of the organisation.

Assist the Digital Knowledge and Information Manager with promoting the library and archive collection.

Assist the Digital Knowledge and Information Manager with reviewing the library systems used ensuring they continue to meet the needs of the service.

Assist the Digital Knowledge and Information Manager with reviewing content and information made available on the Energy Institute website ensuring it's kept up-to-date and accurate.

You will be expected to meet individual key performance indicators and maintain standards and objectives for the team in line with EI values. This includes producing timely outputs, participating in appraisals and team meetings, and identifying and meeting your self-development needs. You will also occasionally undertake other duties as delegated by the Digital Knowledge and Information Manager. You will work in accordance with agreed policies, procedures, and practices including the EI's Health and Safety at Work and Equal Opportunities requirements.

We are looking for a meticulous, user-focussed Knowledge and Information Officer with strong interpersonal skills as well as excellent verbal and written communication skills. You will be passionate about providing and maintaining a library and information service, assisting library users and answering information and research enquiries.,

  • Experience working within a library setting

  • Experience working with library management software and other content management systems

  • Educated to degree level or equivalent experience

  • Knowledge of effective search techniques

  • Strong MS Office skills, especially Word and Excel

  • Strong inter-personal and team working skills

  • Excellent communication skills, both written and verbal

  • Good organisational skills

  • Good customer service skills

  • Good level of numeracy
