Full Job Description

Salford Primary Care Together CIC is looking for experienced GP operations staff to join our dedicated practice team within Salford on a full time basis, 37.5 hours a week., As an Assistant Practice Manager it will be your role to ensure high quality care is consistently delivered to all patients and stakeholders in the practice. You will be a strong support system to the Practice Manager. You will possess strong leadership and management skills to enable you to develop and coach the practice administration team. You will be approachable, dedicated and will have a pivotal role in helping to create a culture at SPCT that values diversity and reflects inclusion. As part of the leadership and management of SPCT the Assistant Practice Manager is responsible for enabling and supporting the team to meet set goals and outcomes so everyone can contribute to improving the provision of care in Salford., · To lead, manage and support your team to ensure they are equipped with the right skills and resources to perform their roles to the highest standards. This includes regular 1:1s, feedback, annual appraisals and objectives setting, completion of required mandatory training and any additional training requirements.

. Provide first line support, training and guidance to team members in support of their responsibilities.

· To motivate the team to ensure high levels of engagement, managing any poor performance matters in a timely and appropriate manner.

· Responsible for ensuring the Practice is resourced to the required levels by managing the rota, planned annual leave/absences, and making appropriate arrangements for cover when required.

· Responsible for the day-to- day health and safety arrangements in the building, including ensuring risk assessments are up to date, fire wardens/instructions are in place, monitoring of any incidents and accidents

· Ensure the delivery of a professional reception to patients

· Plan, organise and prioritise the workload of the team to ensure deadline and KPIs are met, flagging up any potential issues/slippage as early as possible to the Practice Manager

· Monitor that tasks are competed within the operational guidelines by the admin team this includes prescriptions, answering calls, referrals, tasks, lab report filing and any other tasks the admin team undertakes. If a deadline is not going to be met then you would escalate this to the Practice Manager.

· Work with the Practice Manager to utilise clinical software to perform searches, extracting and validating patient and statistical data for the preparation of reports and will also be responsible for, and be proactive in ensuring the recall of patients is implemented by the reception team.

· Patient engagement - manage the patient participation group, ensuring opportunity is given to patients to provide feedback on the services and share ideas for improved practice. Ensure the patient noticeboards and information areas are engaging and up to date and the reception area is clean and tidy

· First point of contact for any patient complaints presented at reception. Taking the lead on resolution where appropriate and escalating where required. Ensuring all complaints are recorded and corrective action/improvements made where needed.

· Work closely with the Clinical lead on improving safety, quality and access for patients.

· Engage and work with the PCN as a representative for SPCT.

· Minimum of Maths and English at GCSE level or equivalent

· Minimum of 12 month experience working in a health care practice environment

· Ability to motivate a team to provide excellent patient/customer care

· Ability to quickly prioritise and make decisions when needed

· Knowledge and ability to use suite of Microsoft Office packages

· Excellent communication skills and the ability to quickly diffuse situations

-Understanding of Primary Care Clinical IT systems; i.e. EMIS & Docman

· Driving Licence/use of a car

DESIRABLE

· Management/supervisory qualification

· Minimum 12 months experience of supervising or managing a team,

  • Management: 1 year (preferred)

  • Primary Care (General Practice): 1 year (preferred)

    Working will involve some early and late working (0700hrs - 2100hrs finish) and very occasional weekend working; however your primary hours of work will be between Mon to Fri 0800 - 1830.
