Full Job Description

We are hiring a Fleet Manager to manage our existing fleet of 160 vans that operate in London and the southeast. The Fleet Manager will be responsible for all, the day-to-day management of the fleet in accordance with current UK legislation, ensuring that the fleet is roadworthy and meets the needs of our engineers working in the field. In addition, we are looking for a person who can help improve cost efficiencies. Part of the role will also include working with the CFO to develop a strategy and plan as the fleet grows, that meets business needs whilst embracing the change and benefits of greener economic policies.,

  • Ensuring that the Company's fleet of vehicles is operating in accordance with UK legislation and regulations and that the company is meeting its obligations.

  • Implementing policies and procedures regarding fleet operations and drafting any changes to policies.

  • Managing strict vehicle maintenance, servicing and inspection schedules to minimise downtime and maintain accurate records of the same.

  • Monitoring fleet cost and maintaining costs within budget.

  • Create, implement and manage, a system to audit and review fleet compliance systems to ensure they are effective and adhered to.

  • Keep up to date with and communicate relevant changes in standards and legislation.

  • Ensure compliance with all statutory regulations; particularly those relating to transport and vehicle servicing, and Health & Safety.

  • Work with the wider Operations team on operational matters to ensure that the fleet is meeting business needs efficiently.

  • Ensure an efficient system exists for the regular maintenance of vehicles and equipment, making sure service and repair records are kept as per legal requirements.

  • Service planning of the Spy core fleet: monitoring and adhering to all vehicle services and MOT's, legal compliances or standards. Ensuring all activities are completed as per timetable and paperwork kept for transparency and audit.

  • Work with the Service Managers/ Engineers ensuring vehicles are available for scheduled maintenance & MOT, with an appropriate replacement where necessary.

  • Liaise with service providers to ensure repair and maintenance programme is completed with minimal disruption to availability.

  • Review preferred service providers and benchmark service levels and rates.

  • Ensure a weekly physical inspection of vehicles is undertaken and recorded to maintain condition of vehicles.

  • Undertake periodic 'spot checks' of vehicles to ensure drivers are accurately recording defects, identifying any damages or cleanliness issues.

  • Establish and maintain KPls for fleet operations including (but not limited to) miles per gallon, vehicle usage, fleet replacement requirements.

  • Maintaining accurate vehicle records, ensuring all the correct paperwork is in the physical vehicle files and system files are maintained for audit monitor, maintain & update UK fleet lists for ULEZ, where necessary.

  • Record, manage and report details of all vehicle accidents to insurance Company as required.

  • Maintain driver license checks to ensure that legally a driver is covered to drive Company vehicles.

  • The compilation of fuel price comparisons as required.

  • Ensure any additions to fleet from acquired businesses are migrated to Spy systems and processes within agreed timetable.

  • Sourcing of new vehicles and the arrangement for the sale or disposal of old Company fleet.

  • Assist with annual budget setting for fleet costs.

  • Work closely with the CFO to develop strategies for improved cost efficiency.

    You should have experience of managing a commercial fleet of vehicles used in field service operations. Ideally, you will live within a short commute of Orpington and be willing to travel to other locations in the south-east. If you are naturally commercially focused, ambitious, and keen to put forward ideas, whilst also being, grounded and willing to tackle all tasks, you could be an ideal fit for our position., A solid knowledge of UK road legislation and regulations

  • Standard working hours are 8.30am-5.00pm Monday to Friday.

    Please be aware all successful candidates will need a full driving license and will have to undergo relevant security checks by NSSA standards
