Full Job Description

The main purpose of this role is to provide proactive day to day administration to the department and wider Group Companies for facilities services.

This will include but not be limited to:

  • Maintaining and updating filing for all Group company files held within the Group Services department

  • Providing efficient and accurate administration assistance to the department

  • Processing capital expenditure requisitions for the provisions of items across the group and arrange authorisation

  • Deal with any telephone-based issues where it is not an IT issue, which includes ordering of handsets and accessories.

  • Ordering stationery and PPE items

  • Provide weekly time sheets for the office cleaners and facilities assistant

  • Process invoices and purchase orders

  • Issue permit to work and induction information to contractors in the absence of the Facilities Manager or Facilities Assistant

  • Liaise with colleagues, contractors, and suppliers in a timely and professional manner.

  • Administer health and safety matters

  • Provide administrative support to the facilities helpdesk

  • Providing on-call services as reasonably required and requested by the Group Facilities Manager

    At least 3 years' experience in a facilities role/environment

  • A good working knowledge of maintenance routines and the ability to recognise issues and seek solutions

  • A friendly, helpful, and welcoming manner with an understanding of the importance of effective customer service

  • Ability to work co-operatively, collaboratively and supportively as a team

  • Ability to contribute to and support the work and decisions of the team

  • Confident and effective communication skills, both written and verbal, with the ability to confidently communicate to a broad range of internal and external stakeholders

  • Ability to organise own work and time, using own initiative and recognise matters that require urgent attention

  • Is driven to deliver with the initiative to make things happen

  • Computer literate, specifically in MS Office including Teams and SharePoint

  • Able and willing to be flexible for any out of hours issues that may arise and attendance, or remote support that is required
