We currently have a fantastic opportunity for a dynamic Executive Assistant to join our diverse and growing international business!

As the Executive Assistant working alongside the Agency Director, you will be central to the operations, ensuring that Magnetic runs seamlessly and efficiently. You will have an intrinsic desire to be more than an executive assistant; you want to be an integral part of our success.

Our ideal candidate is a proactive and detail-oriented individual who thrives in a fast-paced environment. You should have excellent communication skills, as you will be the primary point of contact for internal and external stakeholders.

We are open to part time and full time applications as finding the right person for our small, yet growing, team is key., Hybrid: This role requires flexibility with time spent in our office (approx. 3 days a week). You will also be required to travel to other locations on an ad hoc basis to support the Agency Director's activities

Full-time / Part-time: We are open to considering candidates for full time or part time contracts.

On a day-to-day basis of an Executive Assistant, this is what you can expect:

  • Working alongside the Agency Director and Leadership Team to manage day to day operational activities

  • Full inbox and diary management for a busy and in demand Agency Director including travel arrangements

  • Arrange internal and external meeting bookings, liaising with clients

  • Draft, review and send communications on behalf of Agency Director

  • Organise and prepare for meetings, including gathering documents, creating the agenda and minutes

  • Prioritise workload & undertake projects for the Agency Director

  • Social event and welfare lead for our fantastic team events

  • Assist with all systems eg. HR, Asana and be the point of contact for all HR related activities like recruitment

  • Coordinating events for clients and sitting at the heart of the project plans

  • Main point of contact for office management activities e.g. contractors, office supplies etc

  • Proven experience in an executive support role for an Agency Director / equivalent

  • Experience working within the creative sector / small business or agency

  • Exceptional communication and organisational skills, attention to detail, and the ability to manage multiple priorities effectively

  • Efficient & productive diary management; maximising and balancing internal and external demands

  • The ability to make informed decisions and exhibit sound judgement, even in high-pressure situations

  • The ability to build good relationship management skills, with the ability to build a personal network throughout the company.

  • Proficient in Microsoft Office suite

  • Experience of driving cross company social engagements

  • Experience of coordinating internal and external events

  • Energetic and enthusiastic mindset, eager to tackle new projects and ideas
