Full Job Description
This role reports directly to, and works closely with, the Group CIO. The successful candidate will ensure the Group CIO is well-prepared, informed, and organised at all times. This position requires a trusted, collaborative, and highly organised individual who can build relationships within the team and thrive in a fast-paced environment
As part of this role, you'll be responsible for:
Diary Management:
- Control CIO calendar to ensure CIO time is effectively and efficiently used, including proactive management (e.g. anticipating review sessions prior to key meetings)
- Requesting documentation for upcoming meetings, working closely with CIO's Business Manager, and ensure pre-read is easily accessible to CIO
- Coordinate and book appropriate travel and accommodation, including global travel schedules and visas
- Provide logistical support to CIO leadership team for meetings, including travel itineraries
- Review and prioritise emails for CIO to review and action
- Organise team events for CIO leadership team, including liaising with external organisations to secure locations and facilities
- Work closely with CIO Business Manager to ensure agenda, pre-read, and actions are clear and distributed to CIO leadership team
- Purchase Order / Expense Management for CIO team: Prepare, reconcile, and submit expenses; raise purchase orders for team activities
- Reviewing and sending company/ departmental comms
- Filing and managing electronically all ExCo and board papers
- Maintain an email and telephone directory of CIO contacts
- Develop contacts with CIO network, including partners, colleagues, and external clients
- Support wider Executive Assistant network if necessary (e.g. providing cover to other Executive Assistants when they are on annual leave)
Exceptional organisational and planning skills with strong attention to detail - Strong work ethic and drive
- Calm and patient, able to cope with high levels of intensity and workload
- Able to effectively prioritise, multi-task and manage competing demands at pace
- High emotional intelligence and resilience, fast learner, agile thinker
- Super collaborative with high integrity; builds trust-based relationships and respects confidentiality
- Significant experience of supporting Board level Executives in a FTSE level organisation
