Full Job Description

This role is a full-time role, in a 4-day-week company (so Monday to Thursday). The role reports to the Head of People and covers a broad range of communication and organisational skills and functions.

Role and responsibilities:

This is a very busy and varied position, which involves Executive Assistant, HR and office management responsibilities. Working for a start-up, there are any number of roles you may need to fill in a day, so versatility is key to success in (and enjoyment of!) the position.

You will be working directly with the company founders and management group, as well as supporting the rest of the team. This is an on-site role - collaboration is key to the way we work here. If you prefer to work remotely then this is not the job for you!

Although there may be any number of tasks over the week, some of the key responsibilities of the role include:

A broad range of office management responsibilities, such as:

  • Helping establish, implement and maintain office policies and procedures

  • Ensuring the smooth running of the digiLab workplace, including taking an inventory of office supplies and reordering as necessary

  • Managing timesheet information - ensuring timesheets are up to date and providing regular reports

  • Analysing and reporting on this and other statistical data, as appropriate

  • Processing expenses

  • Managing the digiLab Asset List

  • Assisting the senior management team as necessary


  • HR responsibilities, including:
  • Onboarding new staff

  • Managing the administration for leavers (competing checklists; conducting exit interviews etc)

  • Recording and monitoring Right to Work documentation and status

  • Assisting in recruitment processes, including recruiting for full-time roles, graduates and interns


  • The role also includes Executive Assistant responsibilities:
  • Helping manage the schedules of the executive and management teams, particularly supporting Professor Tim Dodwell (CEO) and the Business Development teams

  • Working with the team to organise the successful planning and delivery of events, workshops etc, including managing the production of marketing collateral

  • Managing travel and accommodation arrangements for the whole of the digiLab team

  • Setting up and managing company-wide talks and events
