Full Job Description

The Editorial Assistant's main responsibility is to manage the workflow of magazine page approvals via Trello, our workflow management system, and Proof HQ, our online approval process. They will be the principal port of call for communicating amends and approvals between internal parties and external clients - where necessary.

They will work closely with both the Partnerships and the Buying teams across the company to gather relevant information, and liaise regularly with the magazine's team of sub-editors and the design team. The Editorial Assistant will also play an integral supportive role in assisting the Managing Editor, Deputy Editor and Editor with everyday administrative tasks.

Other responsibilities and attributes include:

  • Taking full ownership of the magazine page approval process: circulating pages to all stakeholders via Proof HQ and Trello.

  • Raising purchase orders for commissioned writers and contributors and logging these accordingly.

  • Assisting in sourcing assets for each issue including images, press releases and credit information, for both editorial and advertorial features.

  • Managing the workflow of brand mailers - additional paid supplements created by the magazine team - via supporting the writers, editors and design teams with sourcing assets, and overseeing the approval process of pages with both internal and external stakeholders.

  • Calendar management, diarising key dates within the publishing schedule.

  • Liaising with external contributors, gathering information for cover letters and keeping track of required URLs for QR codes for relevant features

    As a dedicated Editorial Assistant, you will bring a passion for language and a meticulous eye for detail to support your editorial team. You will thrive in dynamic environments where deadlines are paramount. You have a strong genuine passion for the inner operations of a magazine and a passion for print.


  • As well as:
  • Excellent organisational skills, ability to work under pressure and prioritise.

  • Excellent attention to detail and strong communication skills required.

  • Ability to work effectively to meet deadlines with accuracy.

  • Ability to manage workflows

  • Able to think coolly in stressful situations, dealing professionally and objectively with colleagues from across all departments, senior management and third parties.

  • Working knowledge of Trello would be beneficial.
