Join our Crewing Logistics team as a Co-ordinator - Crew Records and Leave, you will be responsible for ensuring all Crew Visas and Passport arrangements and requirements are processed and managed in a timely and cost-effective manner. Monitoring, updating and administration of crew records (aircraft qualifications, medicals, licenses, cosmic, flying and duty hours) that support regulatory compliance and operational requirements.
Responsible for the authorisation and allocation of crew leave and guaranteed days off meets all company and contractual requirements. Utilising effective communication with pilots and cabin crew, crew management, as well as with 3rd party providers to ensure minimal operational disruption.

Day to day
Some of your key responsibilities as our Co-ordinator - Crew Records and Leave will be:

  • Ensuring leave, guaranteed days off are assigned and communicated to crew in accordance with agreed quotas, timescales, union agreements.

  • Maintaining crew records (e.g., Licence, visa, medical, cosmic, passport, flight hours and duty hours): ensuring all relevant records are accurately tracked and updated. Timely communication to crew and relevant agencies for appointments and renewals as required to ensure costs are controlled and crew productivity is not adversely impacted.

  • Ensuring a high level of customer focus in all communication with crew members, management teams, agencies, supporting and helping where required and striving to independently problem solve within the agreed parameters.

  • Supporting the implementation, adherence and driving of improved processes and procedures that deliver accuracy to the crew records and leave process, especially focused on automation.

  • Conveying information both verbal and written with pilots and cabin crew, Cabin & Flight Crew Management, Government affairs, Medical Services

    You will have previous experience in a Crew Logistics or Cabin Crew role with previous office-based experience, along with working knowledge of leave allocation processes and demonstrable experience applying polices to employees.

  • We'd also love for our successful candidate to demonstrate the following:
  • Confident user of Excel, Word, Teams and SharePoint essential

  • Excellent organisation, planning, communication and influencing skills with diverse stakeholders at all levels.

  • Cost-conscious mindset, with a persuasive approach to ensuring best value for money/most productive decisions are made.

  • Meticulous attention to detail

  • Independent style of working, with the ability to structure and prioritise own workload without supervision as well as working within a team.

  • Flexible approach to a consistently changing operation and priorities, with the ability to switch from one task to another confidently under pressure or to tight deadlines.
