Full Job Description

NAAFI are seeking a dynamic, proactive and passionate Contracts Administration Assistant who is highly approachable and a great team to player to join our growing team at our fabulous offices in Whiteley., The core purpose of this role is to provide administrative support to the Contracts team. The focus of this role will be to support our on-going live projects by supporting the various contracts and maintaining our assets and capital project register databases. You will be passionate about customer service and continue high standards of communication to both internal and external customers. To demonstrate integrity and respect at all times and in all aspects of daily duties.

  • Responsible for providing administrative support to the team and maintaining accurate and effective information and filing systems

  • Responsible for producing high quality, accurate documentation/ information as required by the Management team

  • Responsible for setting up and maintaining the asset register by creating sites, adding, updating and deleting equipment as procured. Produce asset and valuation reports as required

  • Assist in the placement and tracking of equipment orders with various suppliers.

  • Maintain the commercial contracts register, update with new contracts and highlight contracts that are out of date and ready for review in a timely manner.

  • Involvement with contractual and financial documentation for current and new business

  • Involvement with accounts team to ensure financial accuracy for monthly accounts

  • Maintain a capital works schedule and link to project updates by keeping track of version controlled documents, quotes, signed off projects and works programme.

  • Maintain the fleet register and monitor mileage, general contract run out dates, MOT, BFG dates

  • Proactively communicate with all NAAFI outlets, suppliers, and internal departments regarding on-going live projects

  • Undertake any other duties as may be appropriate and required from time to time.
