Full Job Description
- Serve as the dedicated contract administrator, providing performance reports to the contract manager to ensure 100% compliance across maintenance, reactive, and ED works tasks.
- General:
- Understand, anticipate, and fulfill both internal and external customer needs while fostering effective relationships.
- Respond promptly to internal and external inquiries through clear communication and personal accessibility.
- Maintain accurate information and documentation in both internal and external systems.
- Manage the helpdesk operations, including logging, distributing, and closing reactive calls.
- Maintain all maintenance asset files to ensure compliance with contract and health & safety regulations.
- Assist the Contract Manager in producing the monthly contract report.
- Ensure adherence to company policies and procedures.
- Support management in ensuring compliance with health & safety requirements, including reporting hazards and promoting a safe work environment.
- Financial:
- Generate estimates on the in-house system and oversee the process until the completion of the works.
- Coordinate, organise, and issue purchase orders to subcontractors for annual contract maintenance and specialist reactive works.
- Monitor expenditure against budget when raising reactive purchase orders.
- Compile monthly forecasts on reactive works for ABM and the client.
- Prepare monthly reactive invoicing and submit to the client.
Essential: - 2 years of experience in an administrative role.
- Demonstrated excellent customer service skills and commercial awareness.
- Experience in financial reporting.
- Intermediate/Advanced level proficiency in Excel.
- Computer literacy.
- Certification in IOSH Managing Safely.
- Awareness of health & safety responsibilities.
