Full Job Description

  • Maintain complex and detailed calendars and manage the coordination and logistics of both internal and external meetings

  • Screen incoming calls and determine the level of priority, while using caution in dispensing information

  • Arrange and coordinate complicated domestic and international travel

  • Organize all aspects for offsite conferences and external events, including catering and transportation

  • Process invoices and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter experts for policies and procedures

  • Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access

  • Produce high quality emails and messages to individuals at all levels of the organization

    As a Senior Business Assistant in the Corporate & Investment Bank you will be required to support at a senior level within this fast-paced environment. All applicants should have EA background working with senior stakeholders gained in an office environment and possess a strong degree of flexibility given the demanding nature of this role, able to demonstrate an advanced Assistant skillset. Additionally, you should have a high degree of confidentiality, strong work ethic, good time management, resourcefulness, diligence, and a strong business and client deliverable focus, Relevant administrative experience supporting Managing Director level (or equivalent) or above

  • Professional client handling, ability to build and maintain business relationships

  • Full competency in diary management, can apply good judgment and understand competing priorities

  • Strong, executive communication style both written and verbal

  • Experience of effectively arranging travel, production of accurate itineraries, plan B & C, able to navigate systems well and apply good judgment on how to optimise travellers time and business costs

  • Can demonstrate pro-activity and ownership within the role

  • High level technical capabilities

  • Strong awareness of expense systems and cost control initiatives e.g., can champion expense policy

  • Polished, professional approach, calm and composed manner, ability to work in a pressured environment and partner effectively across different hierarchies

  • Understands the culture of an Investment Bank and can quickly grasp the political landscape and key people within the organisation
