Full Job Description

  • Undertake receptionist duties on the School Receptions, by greeting visitors, parents, and students in a friendly and professional manner

  • Ensure all visitors sign in and out correctly, issuing visitor badges and maintaining accurate records of visitor activity, in accordance with security procedures

  • Answer phone calls, operate the switchboard and respond to inquiries, redirecting calls as needed

  • Deal with the receipt of deliveries and contact the necessary department or site team member for collection

  • Manage incoming and outgoing mail

  • Support the school office team with ad hoc tasks and projects as and when needed

  • Ensure the reception area is kept clean, tidy, and welcoming at all times, including arranging seating and displaying relevant information or notices

  • Support the registration process for new students, including collecting and verifying necessary documentation and updating student records in the school database (SIMS)

  • Coordinate appointments for parents, students, and staff members, ensuring availability of meeting rooms and necessary resources

  • Assist with administrative tasks such as preparing documents, updating spreadsheets, and organising files, both electronically and in hard copy

  • Record student absences and late arrivals accurately, following school procedures for contacting parents or guardians as necessary

  • Maintain confidentiality and discretion when handling sensitive information, such as student records, staff matters, and school policies

  • Work closely with other departments within the school, such as management team, teaching staff, and support services, to ensure smooth operation of school processes and procedures

  • Assist with the planning and organisation of school events, such as parent evenings, open days, open mornings and school trips, including sending out invitations and managing RSVPs

  • Provide a comprehensive administrative and customer-focused service

  • The post holder will be required to assist in the organisation and administration of school services such as room bookings, arranging dates for school photographs, visits by health professionals, free school meals and hot meals

  • The post holder may be required to contact parents on a range of non-contentious issues and act as a point of first contact for parents and carers and prospective parents and carers

  • To provide cover within the team

  • Update school calendar, As the successful apprentice you will undertake an Apprenticeship Standard Level 3 in Business Admin to include assessment in Skills, Knowledge and Behaviours, Functional Skills in Maths and English (where applicable), and completion of your End Point Assessment.


  • During your time on the apprenticeship programme, you will also be expected to complete and document 20% off-job-training.

    The Apprenticeship will be delivered by South Gloucestershire & Stroud College over 18 months.

    You will be required to attend Filton Campus on a block release basis for your studies and an assessor will visit you out on site. You will be assigned a supervisor/mentor within the workplace, who will support you to develop your workplace skills, knowledge and behaviours throughout the duration of your apprenticeship programme.

    Upon completion of your Business Administration apprenticeship and with experience in this sector, you could progress from admin assistant to supervisor or office manager. You could also move into other departments, like IT, payroll, or accounting.

    GCSE or equivalent Maths (Grade 4/C) Essential, Having the right attitude, work ethic and commitment to your education as well as your employment are essential requirements to this role. You would be required to have a DBS as part of your employment.

    Until August 2022 we were a small primary school for 4 - 11 year olds situated in the conservation area of Frenchay. In September 2022 the school began the first phase of expansion from 140 places to 210 places, making us a single form entry school, with one class per year group. Founded in 1829, the school moved to its Grade II site in 1842 which was an early example of the Victorian style. In October 2022 the school moved once more to the site that once housed the Frenchay Hospital and its carpark. Since the relocation of the majority of the hospital to Southmead, a new housing estate has been built on the land. This has led to the need to increase school places and so a new, state of the art building, built to the Passivhaus standard has been built. As a result of this expansion there are spaces available across most classes in the school. T Ultimately the school will become a two form entry school with up to 420 pupils in 14 classes. As
    the building is a state of the art passivhaus building, it features many energy saving aspects such as triple glazing to meet the Local Authorities Eco agenda. A little history... Frenchay is a Conservation Area and the school building, until early September 2022 was situated in the middle of Frenchay Common, between the church and the pub. The school was built by public subscription and the local gentry who lived in the grand houses took an active interest in the school, often writing critical comments in the school log book. Frenchay is 5 miles from the centre of Bristol but is a popular place to live and visit because of its village atmosphere. The school has strong links with the local community, including St John's Church, the Residents Association and the Parish Council.
