Full Job Description

We are recruiting for an Assistant Operations Manager to join our team. You will work closely with the Operations Manager to oversee daily operations within the organisation. Primary responsibilities will include assisting in managing the operational team, coordinating operational processes, ensuring efficiencies within the operation, overseeing all aspects of H&S and inventory management and substituting in the absence of the Operations Manager.,

  • Assist in overseeing daily operations to ensure smooth functioning of the organisation, including stock replenishment, pick creation and general operational admin tasks.

  • Collaborate with the Operations Manager and Warehouse Supervisor and Warehouse Manager to develop and implement operational strategies, policies, and procedures.

  • Supervise and provide guidance to operational staff, including training, scheduling, and performance evaluations.

  • Coordinate with other departments, such as buying, sales, export, and human resources, to ensure seamless workflow and communication.

  • Plan, manage and oversee all aspects of in-house Sleeping Bag production including coordinating and communicating with buying department to ensure finished stock requirements are met within the required timeframe.

  • Manage regular stock takes to ensure accuracy of inventory records, record inventory and identify discrepancies between physical counts and recorded inventory levels.

  • Investigate all reported stock discrepancies and create regular reports on stock levels, discrepancies, and trends for management reports. Support with implementing measures to prevent and reduce stock shrinkage.

  • Process all stock adjustments across multiple stock locations, including those communicated from a contract logistics provider in the UK, Netherlands and the US.

  • Perform weekly stock reconciliations between the Equip WMS and contract logistics providers WMS to ensure stock is fully aligned, ensuring any discrepancies are fully investigated.

  • Ownership of all aspects of staff time and attendance systems including security fob administration for the two UK Warehouse sites.

  • Oversee the maintenance of all vehicles and plant machinery, including pool vehicles and FLT's.

  • Supporting the Facilities Manager in monitoring, maintaining, delivering and implementing all Health and Safety requirements. Working closely with our H&S expert, where required, to ensure our high H&S standards are maintained.

  • Supporting the Facilities Manager in providing appropriate reports, updates and action plans for the quarterly H&S committee meetings.

    Experience in managing departmental supervisors for Goods in and Goods Out and managing a distribution facility in the absence of the Operations Manager

  • Proven background in day-to-day management within a fast-paced, seasonally led distribution centre

  • Knowledge and understanding of industry best practices and trends in operational management

  • Knowledge of current Health and Safety procedures within an operations / warehouse environment

  • Strong analytical skills with the ability to interpret data and make informed decisions

  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organisation

  • Detail-oriented with strong organisational and time management skills

  • Proficiency in Microsoft Office suite (specifically Excel) and other relevant software applications

  • Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities

  • Current full driving licence

  • Experience with Microsoft Navision and Warehousing modules

  • Background in stock control and stock management

  • Power BI reporting skills

  • Experience in managing and leading operational distribution teams who ship in excess of 1.4m units p/a

  • FLT licence
