Full Job Description

The role will include various duties with the aim to develop and have more responsibility during your apprenticeship. The role will include some of the following areas:

  • To deal courteously and efficiently with all visitors

  • Answering the telephone in a professional manner and dealing with enquiries

  • General administrative duties including typing correspondence by e-mail and letter

  • Be involved with the management in recommending improvements within the organisation relating to their systems and processes

  • Research prices of parts

  • Ordering parts

  • To undertake filing, photocopying/scanning record keeping and distribution of relevant documents

  • Using Microsoft Packages, in particular Word and Excel

  • Using Sage

  • Processing Invoices

  • Managing the diary/bookings

  • Responsible for co-ordinating the post

  • Providing refreshments for visitors when required

  • Inputting data onto internal systems with a high level of accuracy

  • Dealing with stationary/stock levels and reordering as and when appropriate

  • Assisting all members of the team as and when required

  • Dealing with requests for information

  • Ensure that the Policies of the company are observed and that good practice is encouraged, particularly in the areas of Health & Safety, Equal Opportunities and confidentiality


  • As part of your contract of employment completion of the Apprenticeship Training Programme forms part of your duties as well as helping your personal and professional development; the requirements to complete the programme are as follows:
  • Attend and be punctual for all induction session, lessons, work-based training/support sessions

  • Complete all required assignments

  • Build up your portfolio of evidence on-going

  • Access support from your tutor/assessor and manager as and when required


  • The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by the organisation which is relevant to your post within the company to meet the overall business objectives.

    Business Administrator Level 3

    A candidate commencing on this course should be able to work with autonomy, already have knowledge and experience of how to undertake all general aspects of office practices and the responsibility in their role of managing a project. This project involves improving the systems and processes in the organisation and this should show that it has contributed to the efficiency of an organisation and or a cost saving.

    The role will involve working as part of a team and will involve developing, implementing, maintaining and Improving administrative services. Business administrators develop key skills and behaviours to support their own progression towards management responsibilities.

    The responsibilities of the role are to support and engage with different parts of the organisation and Interact with internal or external customers. With a focus on adding value, the role of business administrator contributes to the efficiency of an organisation, through support of functional areas, working across teams and resolving issues as requested. The flexibility and responsiveness required allows the apprentice to develop a wide range of skills.

    The business administrator is expected to deliver their responsibilities efficiently and with integrity - showing a positive attitude.

    The role involves demonstrating strong communication skills (both written and verbal) and adopting a proactive approach to developing skills.

    The business administrator is also expected to show initiative, managing priorities and own time, problem-solving skills, decision-making and the potential for people management responsibilities through mentoring or coaching others.

    You are given one day per week as time off to study; you will attend monthly classes via Teams at Kirklees College in Huddersfield. The study day is a Thursday.

    Communication skills, IT skills, Attention to detail, Organisation skills, Customer care skills, Problem solving skills, Administrative skills, Logical, Team working, Initiative, Excellent timekeeping, Excellent attendance, GCSE or equivalent Maths and English (Grade 4/C or above or equivilent) Essential
    BTEC or equivalent ICT - Knowledge of Outlook, Excel and Word (Grade Pass, Merit or Distinction) Desired

    The wage may be negotiable, this will be dependent upon experience; the wage may also increase subject to meeting both work and apprenticeship targets on-going.

    Apprentices are paid for their normal working hours and training that's part of their apprenticeship (usually one day per week).

  • Monday to Friday - 8.30 am until 5.30 pm. There may be occasional Saturday mornings - 8.30 am until 12.30 pm, you will be either paid for this time or be given the time off., You could reduce your training time, or finish your apprenticeship faster, if you have relevant prior learning or experience.
