Full Job Description

We are looking for an enthusiastic, well-motivated Administrator to join the Westwood Park Diagnostic Treatment Centre Administration Hub.
The job holder will be responsible for the provision of a comprehensive administrative and secretarial service to a Medical Team across a number of Clinical Services., For the Band 3 Administrator role you will work within a multi-disciplinary team, and be responsible for a range of duties related to patient pathway management, including; diary management, audio transcription and word processing of clinical letters, production of reports and other correspondence as required by the Medical Team., + To set up, organise and co-ordinate the outpatients specialty Clinics including the booking of patient appointments
+ To act as the first point of contact for all communications between internal and external customers. Ensuring communication is in the correct format and appropriate to the needs of the person receiving care
+ Provide efficient and effective clerical and administrative service to the clinicians from referral triage through to clinic outcomes and onward patient care
+ Deal with patient queries, relaying and resolving them with appropriate members of the team when necessary
+ To work as part of a team, coordinating and administering a central triage and outpatient's service across a range of clinical pathways.
+ To enable the smooth running of services by organising and coordinating the effective booking of patient appointments.
+ To take responsibility for the administration of specified pathways and to provide back up and cover for other pathways as necessary.

You should be literate and numerate, with excellent organisational, time management and IT skills and an ability to work without supervision and to tight deadlines and under pressure.
RSA III typing/ word processing is essential (equivalents considered) along with IT skills including knowledge of Microsoft packages. Medical secretarial experience is desirable but not essential but you should have an administrative/secretarial background including dealing with the general public on a face to face basis and by telephone often around sensitive issues.
A high standard of communication and interpersonal skills with the ability to work with staff at all levels is essential to this post along with a strong team ethic; you must have enthusiasm, motivation and demonstrate pride in your work. A good knowledge of the NHS would be also be advantageous
