Full Job Description
The University of Northampton are seeking two temporary student records administrators to support the existing team.
The overall purpose of this role is:
- To provide excellence in customer service and administrative tasks , undertaking a range of activities required , to ensure high quality, accurate and timely data within the student records system support internal and external reporting and decision-making.
- To provide advice and guidance on the areas of responsibility covered by the Student Records Team.
- To support the delivery of excellent student experience through ensuring the work undertaken within the Student Records Team is of high quality, accurate and delivered effectively.
- To contribute to the successful delivery of the work of the Student Records Team by ensuring tasks are completed to agreed standards and timescales.
- To ensure that the individual input of data onto systems including the student records system is of high quality, 100% accurate and up to date.
- To provide advice and guidance on the processes of the Student Records Team, ensuring services are delivered to the agreed quality standard or specification to maximise service quality, continuity and consistency; to take responsibility for the quality of own advice and support given to the staff and students
- To complete tasks effectively, answering standard queries and issues referring issues upwards to senior colleagues as appropriate.
- To communicate clearly expectations and information with team colleagues, students, academic and professional services staff using a range of communication tools
- To develop and demonstrate expertise in the relevant Student Records areas of responsibility
- To support Student returns processes eg Data Futures / HESA by ensuring accuracy of information; display sound working knowledge of Data Futures and other data reporting requirements.
- Produce standard reports from the students' records systems and exception reports using reporting tools to meet internal and external requirements
- Maintain students' electronic efiles
- To develop and maintain good working relations with academic colleagues and professional service teams
- Participate in cross department and institutional activities
GCSE or equivalent vocational qualification (e.g. NVQ 3 or equivalent)
Duties and responsibilities
Tasks include:
Supporting face to face enrolment sessions
Module choice processing and inputting
Grade inputting
Liaising with programme leaders and module leaders to confirm student data queries, assessment information, hand in dates
Minute taking at module boards and administering board processes
Identify students who have outstanding enrolment tasks and working with them to resolve them quickly
working with academic staff, colleagues in LLS and colleagues in other parts of the records function to ensure NILE sites are set up correctly each year.
Communicating with students and a range of staff on student records queries
Working closely with other administrative teams to support the student journey from enrolment to award.
Demonstrable experience of identifying errors in data and considering how those errors might be resolved
Operational knowledge of systems associated with the capture and management of data, preferably as a competent user of a student records system
Demonstrate the ability to follow and apply procedures
Demonstrable experience of producing documentation to a high degree of accuracy according to agreed templates.
Demonstratable experience of managing exceptions and differences to standard protocols effectively and within agreed
Excellence and evidence in customer service delivery
Demonstratable experience in working in a team to achieve team and department goals
Ability to communicate clearly, explaining questions and responding to internal and external customers
Ability to plan and schedule work
Demonstrable commitment to data integrity
Good level of IT knowledge and skills in using IT based systems (MS Office)
Ability to deal with challenging situations involving staff and/or students
Ability to adapt to changes in the organisation, environment and changing situations and to adjust workload accordingly
Ability to deal with high workloads and pressure of deadlines
