Full Job Description

  • Support the sales leads in opportunity searching via tender portals and email alert systems. Scanning tender publication sites and forwarding relevant opportunities to relevant people in the business.

  • Collaborate with technical teams to support administrative aspects of bid delivery. Focus on all aspects of Expressions of Interests, PQQs and bid coordination, administrative preparation and delivering efficient, timely, high quality, highly successful bids.

  • Maintain and keep systems up to date , and be the gatekeeper of the information flow.

  • Be the go-to person for all tenders and systems queries.

  • Review bidding processes and support improvements to the systems. Gather and share bidding statistics, bid feedback and lessons learned.

  • Manage the data for which we are responsible to ensure the availability, integrity, confidentiality and security of the data.

  • Maintain draft text for bid standard sections, project profiles, CVs, templates and other information to be used in the preparation of bids.

  • Follow-up with collaborators and customers to collect feedback and identify new opportunities where appropriate.

  • Support senior managers with ad-hoc tasks.

    We are seeking a detail-oriented Administrator to play a pivotal role in supporting Aether's business development team in responding to prospects and bidding opportunities.

  • Pro-active administrator, excellent at multitasking and prioritising tasks effectively

  • Excellent communication skills, both verbal and written

  • Proficiency in Microsoft Office Suite and other relevant software (e.g. Adobe PDF)

  • Commitment to accuracy and a keen eye for detail

  • The ability to work independently, and collaborate with team members to deliver to tight deadlines

  • Editing and proof-reading skills

  • Excellent writing skills, including the ability to write concisely, summarise complex documents

  • Willingness and ability to learn


  • We are open to anyone with the essential skills above, but if you have any of the desirable skills below, that's even better!
  • Previous experience as a Bid /Commercial Administrator within a professional services or consultancy firm.

  • A working knowledge of a CRM system (e.g. Monday.com CRM).

  • Experience in the use of UK and international Tender Alerts systems.

  • Experience with the preparation of UK public sector and international funding organisation bids and the use of organisations' procurement portals.
