Full Job Description

Working as part of the Health Protection Service, the post holder will provide full administrative support to the Team, either at their designated work base or as part of an agile, patient-facing, outreach team at any location within north Wales. This will require the post holder to manage diaries resolving conflicting diary appointments, organise meetings, prepare meeting papers and take minutes of meetings. The postholder will source and provide information when required, to include report collation.

Working as part of the team the post holder will be the first point of contact for the team; this may extend to other internal and external stakeholders. The post holder will also receive and welcome visitors to the department., Project Support / Administration-To provide administrative support required to scope, plan and deliver a project, product, work package or work stream

Use of Microsoft Office to include Outlook, Word, Excel and Powerpoint.

Ensure version control for documentation.

Complete essential administration tasks ensuring all documentation templates are up to date.

Work with more senior members of the team to ensure that all processes/tools including business cases, specifications, project plans, testing and training plans, benefits analysis, and risk and issue logs, and follow-on actions are completed and contemporaneous by contacting team members to contribute to them.

Arrange workshops and events liaising with key internal and external stakeholders prepare agenda and take minutes ensuring that all arrangements have been catered for i.e. room layout, video conferencing/audio facilities and refreshments.

Order and receipt office supplies and raises orders associated with Projects using the Oracle system.

Utilise a comprehensive range of work processing, spreadsheet, database and power-point skills.

Accurately produce reports, letters and meetings papers and minutes of meetings such as team meetings and project / programme board meetings.

Sampling/Screening

  • Assist in basic testing and complete / collate the associated documentation required.
