Full Job Description

· Work as part of the Oakfield Staff Team helping to provide a safe, efficient, organised, and stimulating environment within which all individuals can live and work.

· Act as the Administrator for the company.

· Provide accurate and timely administrative work.

· Follow instructions and organisational policies to provide a high standard of care and support in line with CQC Essential Standards for all staff and people who we support.

· Fulfil the requirements of the job in a professional and diligent manner.

· Recognise and ensure the highest level of confidentiality in all aspects and responsibilities.

Responsibilities

To:

· Be the First Point of Contact for telephone calls, online communications, visiting colleagues and general visitors.

· Complete the recruitment process - DBS Checks, reference requests, contracts, liaising with the Registered Manager where required.

· Ensure that all of the new recruits have their induction pack and identity badge for their face-to-face induction, liaising with the Registered Manager.

· Maintain and up-date when required, the CMS /QCS/BrightHR and Flexibee systems with all of the staff relevant information including a photograph where required.

· Generate the required passwords for new staff to access their required training.

· Provide the meter readings for the photocopier when required.

· Ensure that there is an adequate personnel file in place and has all the required information.

· Ensure that filing is completed in a timely manner.

· Ensure that all administration jobs are completed in a timely manner.

· Ensure all paper and on-line files relating to the running of the Company and those who we support are managed effectively and ensure confidentiality is always maintained.

· Archiving - ensure that this is kept up-to-date, and records destroyed within the required time frame.

· Travel between Oakfield Easton Maudit and Yardley Hastings homes as required.

· Demonstrate an active awareness and understanding of equal opportunities.

· Ensure that reasonable care is always taken for the health, safety and welfare of yourself and other persons, and to comply with the legislation, policies and procedures and report to the appropriate person if any concerns.

· Carry out any other duties which fall within the nature of this post.

Please note this role requires previous recent experience of working in an administrative role., This post will require satisfactory clearance of an enhanced Disclosure and Barring Service certificate.

Literate and numerate, having attained a good level of education.

Willing to undertake developmental training.

Desirable Criteria:

Certificate in Office Skills.

A recognised qualification in office skills or administration.

Experience and Knowledge -

Essential Criteria:

Previous recent experience of working in an administrative role.

Experience in supporting management colleagues.

Experience in financial recording and cash handling.

Use of Microsoft Office Programmes including Word, Excel and Outlook.

Desirable Criteria:

Experience in data recording, data protection, report preparation.

Ability and Skills -

Hold a full UK driving licence and have access to a vehicle.
