Full Job Description

This post will be required to provide administrative support to the Gateshead Recovery Connections Team within the Community Centre along with supporting some central duties. The post will provide accurate and timely data in line with Recovery Connections, OHID and NDTMS requirements.

The post will support the smooth running of the service and work within an Information Governance framework

The post holder will monitor and manage petty cash systems.

You will be required to work flexibly within an agreed number of hours to maintain the most appropriate level of service provision.

You will be expected to take responsibility for personal development, identifying personal training needs and participate in regular supervision and appraisal.

Key Activities:

Work closely with the Management Team to ensure that the administration, IT and telecommunication systems operate in an effective and efficient manner. Act as SPOC for all ICT issues. Contribute to accurate and comprehensive records / data collection on people we support, as required by NDTMS, OHID and SBC performance frameworks and reporting requirements

Coordinate the referrals process, ensuring information is recorded accurately and referrals to and from Recovery Connections from internal and external services are dealt with in good time.

  • Attend relevant meetings and forums as requested.

  • Manage an electronic filing system to ensure that personal data and information are kept in an orderly and accessible manner.

  • Processing of correspondence / data entry as required.

  • Ensure that telephone calls from outside agencies, people requiring and accessing our services and Recovery Connections staff are dealt with promptly and courteously, transferring calls to appropriate personnel when necessary.

  • Distribute incoming and outgoing post and correspondence between services on information relating to referrals.

  • Manage an effective filing system to ensure that all documents are kept in an orderly manner.

  • Assist in the servicing and maintenance of IT and telecommunication systems and all other office equipment (e.g. fax machine, photo-copier).

  • Photocopying as required, collating, laminating and binding of report documents when necessary to support the service delivery.

  • Share information sensitively within the terms of information sharing protocols with a range of agencies when necessary in line with Recovery Connections policies and contractual requirements.

  • Maintain petty cash and invoicing system to a high standard with assistance of the Senior admin.

  • Maintain and action any identified maintenance required through the Building Risk Register

  • Work flexibly within an agreed number of hours of work to maintain the most appropriate level of service provision, including evenings and weekends.

  • Seek to improve personal performance, contribution, knowledge and skills.

  • Participate in appraisal, supervision and Learning & Development processes.

  • Ensure the implementation of the all Recovery Connections policies.

  • Undertake other duties appropriate to the grade of the post.

    Understanding of issues relating to substance use

  • Understanding of the importance of upholding quality standards, performance monitoring and collating appropriate statistical information for purchasers
