Full Job Description

The purpose of this role is to carry out administrative duties for the business Churchill Estates Management (CEM), working as a team with the Senior Administrator and Receptionist. To include typing correspondence, filing, letter writing, mail merges, minute taking and general office duties, as well as covering the reception when needed.
This role will interact with all Colleagues at CEM, as well as liaising with Owners from our developments, contractors and more.

  • Creating and managing documents/spreadsheets and compiling reports.

  • Answer, screen, and forward incoming calls in a polite manner.

  • Producing all Operation's and Finance Mail merges for site/leaseholder letters including ballot papers, budgets for Budget meetings, end of year accounts as well as ad hoc letters to leaseholders.

  • Collating the meeting dates for accounts and Area Manager meetings.

  • Processing Condolence Letters

  • Collecting & Scanning changes to owner documents, including Authority to Disclose. Ensuring that the online software (Qube) is up to date.

  • Taking telephone queries regarding Authority to Disclose/ alternate addresses/ POAs

  • Covering reception between the team when the Receptionist is away.

  • Occasional Qube query.

  • Ordering and organising new Lodge set up boxes & new ID badges.

  • Ensure that the out of hours rota is always up to date and sent to all parties. Dealing with incoming and outgoing correspondence.

  • Filing and archiving and uploading information onto the CEM intranet.

  • Ensure that the Master Key procedural guide is followed and relative spreadsheet is kept up to date. Monitor and ensure that the process for Residents' Associations is maintained in accordance with the ARHM Good Practice Guide and liaise with relative officers of the association accordingly.

    You will have an excellent working knowledge of Microsoft 365 (excel and word) & can create mail merges

  • You will be well organised with excellent attention to detail & good letter writing experience

  • You will be engaging, self-motivated, calm under pressure, focused on delivery

  • You will have a can do attitude
