Full Job Description

We are seeking a detail-oriented Administrative Assistant to join our team in providing efficient support to our office operations. The successful candidate will be numerate and computer literate, with word processing and spreadsheet skills, and ideally with some financial or banking experience.

The post will be for 14 hours per week over two days (or possibly over three shorter days, if preferred).

Responsibilities:

- Perform general clerical duties including data entry, photocopying, scanning filing, and organising documents.

- Manage incoming and outgoing correspondence, emails, and phone calls with professionalism and efficiency, including those relating to deposits and loans.

- Attend Board meetings as necessary and take minutes.

- Assist in maintaining office supplies inventory and placing orders when necessary.

- Support the team with administrative tasks such as typing, proofreading, and preparing documents.

- Maintain confidentiality of sensitive information and adhere to data protection policies.

- Provide excellent phone etiquette when interacting with clients, suppliers, and internal staff.

- Assist in bookkeeping tasks using Sage 200 (training provided).

- Archive documents electonically.

- Handle new loan and deposit applications.

- Carry out, when required, certain duties of other staff members in their absence.

- Update customer records, hard copy and electronically.

- Carry out any other task as reasonably requested by the Chief Executive and/or Company Accountant.

Proficient in using Word and Excel for office tasks.

- Strong typing skills and familiarity with general administrative duties.

- Excellent organisational abilities to manage multiple tasks efficiently.

- Skilful in clerical tasks such as data entry and document organisation.

- Knowledge of Sage 200 or similar accounting software is advantageous.

- Ability to communicate effectively with a professional phone manner.

- Computer literacy with the capability to computerise office processes.,

  • Have you any experience of working in banking or financial services?, GCSE or equivalent (preferred)
