Full Job Description

An exciting opportunity has arisen for a professional, flexible Office Admin Assistant to join our busy, friendly Residential Care Home in Fareham, Hampshire, preferably experienced but will consider proven transferable skills.

You will assist in delivering a reliable, discreet, organised and efficient administrative service, which will support the smooth running of the home.

This position would suit someone who is looking for the opportunity to implement ideas and initiatives and make the role their own.

The role is for 40 hours per week Monday to Friday which includes 30 minutes unpaid break per day., Answering the telephone, accurate message taking and relaying messages in a timely manner. Dealing with enquiries.

  • Manage the email inbox, action emails and respond in a timely manner

  • Diary management and arranging appointments

  • Preparing agendas, minute taking and typing up minutes

  • Recording accurately and in detail via internal care & management systems

  • Liaising with various external parties, residents' families, etc., and health professionals

  • Stock control and requisition (stationery, uniforms, badges, etc.)

  • Handling petty cash payments for services taken at the home

  • Sorting and handing out post

  • Typing, filing, photocopying, emailing, and scanning

  • Arranging interviews and appointments

  • Recruitment; collating candidates for review, arranging interviews as required

  • Calculating holiday entitlement for new staff members, raising contracts and other new starter paperwork

  • Compiling new staff files and checking paperwork returned.

  • Collating information for DBS check requests and seeking employee references

  • Ensure all current information and data regarding staff and residents is continually updated and current

  • Recording appointments for residents and booking transportation as appropriate

  • Preparation of relevant paperwork for new residents and staff

  • Occupancy reporting

  • Monitoring new referrals to our service

  • Assisting with Home viewings for potential new residents

    Computer literacy including Microsoft office and excel

  • The ability to prioritise and manage varying workloads on a day to day basis

  • Good communication skills - written and verbal

  • The ability to work individually, using your own initiative, and as part of the wider team

  • Accuracy and attention to detail

  • Good time management and the ability to plan ahead

  • Greeting visitors politely and being mindful of sensitive situations

  • Confidentiality, tact and discretion

  • Minute taking and typing

    training (on-line and in-house)
