Full Job Description

Provide administrative support across the ASC department, including scheduling meetings, answering phone calls, and redirecting correspondence. Assist in the local authority's response to complaints and compliments by monitoring data and analysing and responding to correspondence and phone calls. Maintain logs for complaints, compliments, and Freedom of Information requests, and ensure that responses are provided on time by officers. Coordinate strategic meetings, including booking venues, ordering refreshments, and sending out emails, agendas, and minutes. Ensure that correspondence, reports, and other documents are produced in a timely and confidential manner using appropriate and available information technology to present them to a high standard. Provide routine general administration support, such as checking and chasing invoices from suppliers and reconciling and closing purchase orders at the end of the financial year. Correspond with Central Payments, Supplier Management, service
managers, and suppliers to ensure that invoices are paid and purchase orders are reconciled correctly. Monitoring and maintaining databases of ordering and receipt of goods and services. Provide financial information about purchases as required. Occasionally organise the receipt, recording, distribution, despatch, and collection of posts. Organise and coordinate workshops, seminars, and events as required. Provide input to relevant working groups as required. Undertake other duties as directed by the Senior Management Team from time to time. Support data collection and entry across Adult Social Care.

GCSE Grade A-C (or equivalent) in English Language and Mathematics

Work Experience Experience of providing administrative support to a large multi-disciplinary team. Experience of being part of a team providing a customer focussed service. Experience of using a computer for word processing and creating / maintaining databases to produce reports. Experience of document management and developing and administering support procedures. Experience of operating filing systems. Experience of specialist software systems including Archibus CAFM / CMIS and Permit to Work systems. Experience of the processes and terms used in the Supply chain and project management. Experience of Financial / Project admin. Experience of drafting letters / memos and minuting meetings. Education / Qualifications A range of GCSE's including English Language and Maths (minimum grade C) or appropriate equivalent, or significant experiential learning. Degree qualification. Microsoft qualification or similar in use of spreadsheets / word processing.
Skills / Abilities Excellent organisational skills, accuracy and attention to detail. Experience of using a variety of IT packages including Microsoft Outlook, Word and Excel. Excellent oral and written communication skills. Flexible in approach to work and ability to see tasks through to completion. Ability to deal with conflicting and challenging situations. Ability to work independently and as part of a team.
