Full Job Description

An exciting opportunity has arisen for a Case Officer to join our Pre-Exchange New Build Shared Ownership team based in our Canterbury office. This role covers 08.30 - 17.00, Monday to Friday and is inclusive of a one-hour lunch break.

The purpose of this role is to play an important part in ensuring the team consistently delivers a high standard of work to meet the needs of our clients and the timescales required by our clients and the work providers. Our team works to strict deadlines therefore the ability to effectively prioritise your workload and stay calm under pressure is essential.

Key Duties of the Role:

· Dealing directly with clients, developers and their solicitors, estate agencies, mortgage companies and brokers on the telephone and by email.

· Liaising with clients to obtain important documentation and provide them with regular updates.

· Processing contract packs and preparing contract reports for clients, including key information regarding the clients purchase and documents for signing.

· Processing mortgage clients mortgage offers, ensuring there are no discrepancies, reporting any information to the lender that may be necessary. This will include faxing and emailing forms to mortgage lenders.

· Preparing Land Registry Searches and Bankruptcy searches via the Land Registry portal.

· Submitting Stamp Duty via the Inland Revenue website

· Progress files and set them up ready for exchange.

· Checking details in progress charts and updating excel spreadsheets.

· Filing, scanning/copying legal documents.

· Producing letters and sending out legal documents.

· Dealing with incoming and outgoing post, ensuring documents are signed correctly.

· Ensuring Firm policy and procedure is adhered to during the transaction.

· Participate in all training programmes initiated by the Line Managers.

· Report all issues of concern to the Head of Department or as they may direct.

· To administer daily work within the restrictions of GDPR, Law Society Conveyancing Quality Scheme and Solicitors Regulation Authority.

· To undertake additional tasks as deemed reasonable to meet the needs of the team.

· Ability to prioritise your workload and stay calm under pressure;

· Ability to communicate effectively with all levels of people either face to face, by telephone and via email.

· Use IT systems efficiently.

· Produce accurate work and have a keen eye for detail.

· Have a willingness to learn and develop expertise knowledge is essential as the legal industry is constantly evolving. In a busy office a polite and professional approach is a must.

· Good verbal and written communication skills.

· Minimum of 5 GCSEs A - C/9-4 or equivalent is essential.

· Previous legal admin experience, preferably in conveyancing is desirable but not essential.
